Groups Reservations Supervisor

The Copthorne Tara Hotel London Kensington is seeking a Groups Reservations Supervisor who will be responsible for supervising the groups team in the handling of all incoming Group inquiries, and to ensure procedures are in place and adhered to regarding group information, rate quoting, chasing, credit, contracts, deposits and the communication of information regarding group bookings and to maximize revenue potential for the hotel.

The Groups Reservations Supervisor Key Responsibilities will include:

• To manage all Group Block Space – Leisure Groups / Ad Hoc Corporate Groups / Exhibition & Event Groups and Allocations. 
• To supervise the Group Sales Executives and Groups Co-ordinator in the quoting and administration of all group bookings, including the training and development of the team.
• To respond to all incoming inquiries for ad hoc groups, and to provide accurate and detailed quotations.
•  To make decisions on the acceptance or rejection of group bookings based on rate and availability in order to maximise hotel revenue.
• To be fully knowledgeable in the operation, functionality and standards required in using the FIDELIO and OPERA reservations system.
• To input Group/Block Reservations into the FIDELIO and OPERA reservations system, ensuring all details are accurate and complete in line with the agreed departmental standard.

The Experience & Qualifications for Groups Reservations Supervisor:

• Excellent attention to detail and accuracy.
• Excellent written/verbal communication and the ability to communicate across all levels of an organization.
• Confident individual who is adept in prioritising and managing multiple projects and tasks simultaneously.
• Ability to take the initiative and deal with unexpected situations and last minute changes.
• Ability to deal with sensitive and confidential data.

The successful candidate will be:

• Enthusiastic, self-motivated, proactive, resourceful with excellent attention to detail
• Demonstrate excellent presentation, negotiation and communication skills with the customers and other hotel departments
• Team worker
• Ability to work under pressure in a fast pace environment
