Job Description

Summary:

  • Implement and administer Data Governance, Information Governance, and Records Management policies and controls across enterprise systems and data platforms.
  • Manage metadata in data catalogs, ensure data quality and lineage, coordinate with data stewards, apply retention labels and access policies, support legal holds and electronic discovery (eDiscovery), and ensure compliance with legal, regulatory, and corporate requirements.
  • Enterprise scope includes data platforms (Oracle RDBMS, Informatica PowerCenter, Azure Data Lake Storage, Databricks, SaaS platforms, SQL Server Cluster), Microsoft 365 (Exchange email, SharePoint, OneDrive, Teams), Contract Lifecycle Management (CLM) and Legal systems, core business applications, file shares, archives, and backups.

 

Role & Responsibilities:

  • Understands the basic principles, theories and concepts related to the profession and learns how to apply them within the client culture.
  • Follows standard practices and procedures in analyzing situations or data from which answers can be readily obtained.

Data Governance Specialist 1:

  • Apply retention and sensitivity labels in Microsoft 365 using Microsoft Purview per established playbooks
  • Follow and assist with organizational policies and best practices for records management
  • Maintain and update Records Retention and destruction schedules compliant with all applicable laws and regulations
  • Manage, monitor, and track official records of any media throughout their lifecycle
  • Carry out procedures for and enforcement of any holds on records destruction because of tax, legal, or operational reasons
  • Document standard operating procedures and user guides for records management processes
  • Coordinate with IT Department regarding the management of electronic records and maintenance of records management software
  • Coordinate with Security regarding classification, security, protection, and destruction of records including off-site storage and retrieval
  • Update business glossary entries and required metadata fields (owner, classification, retention, lineage) in the enterprise catalog
  • Maintain accurate and complete metadata for data assets across enterprise systems
  • Follow best practice procedures, guidelines, and standards for recordkeeping and classification of physical and electronic records
  • Document data lineage and data flows for governed assets
  • Ensure metadata quality and consistency across systems
  • Run scheduled access reviews with Identity teams; validate least-privilege and Segregation of Duties (SoD)
  • Execute routine access control validations and report exceptions
  • Support implementation of security classifications and access policies
  • Assist with access requests and permission management
  • Track and document access control exceptions and approvals
  • Assist with legal hold issuance, custodian notices, and data collections with Corporate Legal
  • Support eDiscovery activities under guidance of senior team members
  • Respond to data subject requests and compliance inquiries
  • Track compliance with regulatory requirements and corporate policies
  • Maintain audit logs and compliance documentation
  • Execute data quality checks and log defects, track remediation status
  • Support domain stewards with governance activities
  • Participate in data quality improvement initiatives
  • Assist with data stewardship coordination across departments

Data Governance Specialist 2:

  • Configure retention-label policies and auto-apply rules in Exchange, SharePoint, OneDrive, and Teams (beyond applying labels)
  • Implement and maintain Data Loss Prevention (DLP) policies across Microsoft 365 platforms
  • Set and implement organizational policies and best practices for information governance
  • Coordinate with IT and Security teams to deploy governance controls across systems
  • Translate policy requirements into technical configurations
  • Monitor policy effectiveness and recommend adjustments
  • Operate eDiscovery: matter creation, scoping, collections, review sets, exports, and audit logging (beyond assisting)
  • Lead legal hold implementation and custodian communication
  • Manage end-to-end eDiscovery workflows for routine matters
  • Support Data Subject Access Requests (DSAR) with search, collection, and redaction workflows
  • Coordinate with Corporate Legal on litigation support and regulatory inquiries
  • Ensure defensibility and chain of custody for legal matters
  • Maintain required catalog metadata and lineage; build validations and completeness reports (beyond updating entries)
  • Identify who is responsible and accountable for managing records and data within the organization
  • Develop automated metadata quality checks and reporting
  • Establish metadata standards for assigned domains or repositories
  • Train records coordinators and domain stewards on metadata management procedures
  • Run quarterly access reviews; manage exceptions and waivers with approvers (beyond scheduled reviews)
  • Coordinate with Security regarding classification, security, and protection of records and data
  • Implement and monitor segregation of duties controls
  • Develop access governance reports and dashboards
  • Ensure compliance with least privilege access principles
  • Translate business rules into data quality checks; file and track remediation tickets (beyond executing checks)
  • Routinely communicate with all departments regarding records management and data governance issues and changes
  • Train records coordinators and data stewards from each department on procedures and guidelines
  • Support and instruct Client departments and their personnel regarding management of documents and data
  • Remain current with archival record management technology, legislation, and policies

Technical Skills:

  • Hands-on Microsoft Purview (records, DLP, eDiscovery)
  • Working knowledge of Oracle RDBMS/Informatica PowerCenter and Azure Data Lake Storage/Databricks data flows
  • Strong SQL; ability to read pipeline specifications and semantic models
  • Experience with data cataloging and metadata management tools
  • Understanding of data classification, retention, and privacy requirements
  • Proficiency with governance workflow and ticketing systems

Additional Preferred Qualifications:

  • Certification in Records and Information Management (CRM, IGP, CIP)
  • Advanced Microsoft Purview or eDiscovery certifications
  • Experience in utility, energy, or critical infrastructure sectors
  • Knowledge of privacy frameworks (GDPR, CCPA, BCSI, CEII)
  • Familiarity with NERC-CIP or other regulatory compliance requirements
  • Experience with data lineage and catalog integration
  • Understanding of data governance frameworks (DAMA-DMBOK, DCAM)
  • Strong analytical skills for translating policies into technical implementations
  • Excellent communication skills for training and stakeholder coordination
  • Ability to independently manage governance domains or repositories
  • Project coordination skills for implementing governance initiatives
  • Problem-solving capability for addressing governance challenges
  • Collaborative approach to working with cross-functional teams

Required Experience:

  • Requires minimum 2 years (5 years for senior) job related work experience in excess of degree requirements

Required Education:

  • Bachelor's Degree : in information management, Library Science, Business Administration, or related field, OR equivalent combination of education and experience (Required) or a combination of education and experience that provides equivalent knowledge to a major in such fields is required.
