Butterfly Foundation is Australia's national charity for eating disorders and body image issues, providing a voice for those affected and the people who care for them. Eating disorders are severe and complex mental illnesses with physical complications, and the medical, psychological, physical and social consequences can be long term and for many, life threatening.

Butterfly advocates for improved services from government, health and mental health organisations, and the eating disorder sector, raising awareness in the media and via community engagement. Butterfly runs Australia's only national Eating Disorders Helpline, seven days a week; evidence-based clinical treatment and support programs; and delivers prevention initiatives in schools and the community to combat negative body image issues.

About the Role

The Data Administrator is responsible for the integrity, quality, and maintenance of organisational data within Butterfly Foundation's CRM environment, with a primary focus on the referral database. This role ensures that data is accurate, complete, and fit for purpose, supporting the Helpline team and other CRM users to operate effectively. The Data Administrator works closely with internal teams to manage data quality, support reporting needs, and maintain the referral database as a reliable and scalable organisational resource.

Accountabilities and Responsibilities

Data Quality & Integrity

  • Maintain the integrity, accuracy, and completeness of data within Microsoft Dynamics 365 CE, with a primary focus on the referral database.
  • Perform regular data quality activities including clean-up, deduplication, validation, and bulk updates in line with agreed rules and processes.
  • Monitor and report on data quality, identifying and resolving issues proactively.

Data Management Processes & Documentation

  • Develop and maintain data management processes, including rules for record creation, updates, archiving, and deletion.
  • Document data management processes, standards, and procedures to support consistency and organisational knowledge.

User Support & Reporting

  • Support the Helpline team and other CRM users with data-related queries, training, and day-to-day operational support.
  • Support reporting requirements by ensuring data is structured, accurate, and accessible for reporting purposes.

CRM Configuration & Projects

  • Assist with CRM configuration and enhancements to the referral database as required.
  • Work with the Business Solutions Manager on data migration, integration, and quality activities related to CRM projects.
  • Demonstrated experience in data administration, data quality management, or CRM administration.
  • Strong attention to detail with a methodical approach to data quality and accuracy.
  • Experience working with CRM platforms, databases, or similar data management systems.
  • Ability to develop and apply data management rules, processes, and standards.
  • Strong communication skills, with the ability to support and train non-technical users.
  • Ability to manage competing priorities and work effectively in a part-time, resource-constrained environment.
  • Experience with Microsoft Dynamics 365 CE or similar CRM platforms.
  • Experience in a similar not-for-profit or charitable NGO environment.
