Role: Clean Transportation Program Associate

Location: Providence, RI- Hybrid

Duration: 2 Years Contract

Hours/week: 35

Position Overview

We are seeking a Clean Transportation Program Associate to support the administration and implementation of clean transportation rebate and incentive programs. The role will focus on reviewing and processing applications, assisting applicants, maintaining accurate program records, coordinating payment processing, and supporting outreach and stakeholder activities.

The ideal candidate will have excellent customer service and communication skills, strong attention to detail, good organizational abilities, and experience working with data, applications, records, and Microsoft Excel. This position involves regular interaction with the public, internal teams, financial staff, and external stakeholders.

Key Responsibilities

  • Administer clean transportation rebate and incentive programs.
  • Review applications and supporting documents for completeness and eligibility.
  • Provide professional customer service through email, phone, and other communication channels.
  • Explain program requirements, eligibility criteria, application procedures, and documentation needs.
  • Process applications, perform accurate data entry, and maintain applicant records.
  • Calculate and verify rebate or incentive amounts.
  • Perform quality-control reviews to ensure accurate eligibility decisions and payment amounts.
  • Prepare payment information and coordinate with financial teams to support timely processing.
  • Maintain Excel spreadsheets and program records for application tracking, funding, payments, reconciliation, and reporting.
  • Monitor application activity, funding availability, and payment status and provide updates to management.
  • Assist with presentations, webinars, outreach events, stakeholder meetings, and public-facing activities.
  • Attend meetings and working groups related to clean transportation, energy, climate, and sustainability programs.
  • Prepare meeting notes, summarize key discussions, and track decisions and action items.
  • Assist with developing FAQs, presentations, reports, guidance documents, webpages, talking points, and other program materials.
  • Conduct research and assist with other clean transportation, energy, sustainability, or climate-related projects as needed.
  • Maintain confidentiality when handling applicant, financial, and program information.

  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Proficiency with Microsoft Outlook, Word, PowerPoint, Teams, and Excel.
  • Strong Excel skills, including formulas, sorting, filtering, data entry, calculations, and record reconciliation.

Preferred Qualifications

  • Experience or interest in clean transportation, electric vehicles, EV charging, energy, sustainability, environmental policy, public administration, customer service, or government programs.
  • Experience working with rebate, incentive, grant, or public assistance programs.
  • Experience working with application processing, financial records, or payment reconciliation.
  • Experience presenting information to the public or external stakeholders.
