The Role


Asset Management Client Services & Fund Administration: 6-months – 2-years Investment Management Operations experience - Japanese speaking graduate.


Martis Search is representing a boutique Asset Management division of a global Banking group, to hire a permanent “Asset Management Client Services & Fund Administration.”


Our client is happy to look at someone who is of graduate calibre with Japanese speaking skills as well as 6-months – 2-years Investment Management Operations/ Fund Administration experience.


The role involves supporting their Client Services Directors for a range of Operational/ Client Services type tasks including preparing Marketing presentations, RFP’s, Client Reporting, working with Funds Performance Data etc.


The role also gives exposure to Fund Manager, the Compliance department, so is a great place to learn and gain in knowledge.


The company is based in The City of London and the Asset Manager has global locations.


The role is also hybrid (within a 4-week period, 8 days employees are allowed to work from home, so you will be able to work-from, as well as in the office).

What you will be doing:


Client Services & Account Management

  • Maintaining routine operational communication with clients and relevant counterparties under general supervision, and escalating material or non-routine matters as appropriate.
  • Monitoring and checking client portfolios based on investment guidelines and internal rules, identifying exceptions and escalating them promptly to team members.
  • Periodic Client Reporting: Coordinating the preparation, first-level review and timely distribution of monthly, quarterly and annual client reports, under the supervision of team members.
  • Independently executing and monitoring assigned routine client service and administrative tasks for existing and prospective clients, including fee calculation and invoice preparation, ensuring accuracy and timely completion.
  • Preparing, updating and performing first-level reviews of marketing materials and documents including fact sheets, presentation materials, RFPs, performance data, and portfolio holdings information.


Fund Administration

  • Independently handling UCITS fund-related operational tasks including routine expense checks and communication with custodians, administrators, management companies and other relevant professional counterparties.
  • Maintaining and controlling all UCITS-fund related documents and registration records in relevant jurisdiction.
  • Independently managing assigned routine processes, including fee estimation, invoice preparation and regular report preparation, and performing first-level accuracy checks.
  • Maintaining routine communication with sub-distributors and coordinating assigned fee-split, due diligence and marketing-oversight processes, under the supervision of team members.
  • Supporting and coordinating defined workstreams for ad-hoc UCITS fund tasks including changes in fund prospectus and legal documents, under the guidance of team members.


Data/ Document Management


  • Maintaining and performing first-level quality checks on data relating to products, existing clients/prospective clients.
  • Maintaining the company website and coordinating timely and accurate updates to information, subject to appropriate review and approval.
  • Maintaining and regularly updating HubSpot CRM records, including client and prospective client data, meeting and activity records, and pipeline information, and performing periodic data-quality checks to ensure accuracy, completeness and timely updating.


General


  • Maintaining, updating and improving operational procedures and guidance materials to support consistency, business continuity and knowledge sharing within IMD.
  • Completing and coordinating IMD internal applications, expense requests and other administrative submissions, ensuring that they are accurate, complete and submitted on time.
  • Supporting the onboarding and day-to-day training of new joiners and junior staff, under the direction of the Head of Department or other team members.
  • Preparing drafts and conducting first-level reviews of drafts prepared by other IMD team members of any kind of reports/memos in relation to the IMD activities under Director’s instruction.
  • Communicating and cooperating with Head Office and supporting the Directors in dealing with the activities related to IMD.
  • Supporting liaison with the Directors and Compliance Manager on IMD compliance matters and assisting with the team’s adherence to AML due diligence and Compliance Manual requirements.
  • General Administrative Duties – Proactively supporting other IMD team members to handle ad-hoc administrative and operational matters, including identifying areas where additional support may be required.
  • Liaising with Accounting team on making/receiving payment related to IMD business.
  • Undertaking operational matters on term deposits and FX management activities under the supervision of the Deputy Managing Director.
  • Acting as the primary operational point of contact for the PR agency on routine matters, coordinating requests, materials, timelines and follow-up, and escalating strategic, sensitive or non-routine matters to team members as appropriate.


QUALIFICATIONS AND EXPERIENCE


Educated to at least BA or BSc level or equivalent.

Japanese speaking skills.


Salary


Between £35,000 k pa - £50,000 k pa dependent upon experience, annual discretionary bonus, pension, healthcare etc.
