Pay Range: $75,000 - 85,000 USD/annually

Job Summary

The PMO Project Coordinator provides essential coordination and administrative support for Vomela’s Enterprise PMO, helping ensure strategic and operational initiatives are well organized, accurately documented, and effectively communicated. This role partners with project leaders, business owners, and cross-functional teams to maintain project plans, coordinate governance routines, track milestones and action items, and support timely status reporting. The position plays an important role in strengthening visibility, accountability, and execution discipline across the project portfolio.

What You'll Do...

  • Support the preparation, organization, and maintenance of project plans, charters, roadmaps, dependency plans, RACI documents, governance materials, risk registers, and related PMO documentation.
  • Coordinate project team meetings and stakeholder communications, including preparing agendas, capturing meeting notes, documenting decisions, and tracking follow-up actions.
  • Monitor project milestones, deliverables, action items, risks, and issues; follow up with accountable owners to support timely completion and escalation as appropriate.
  • Assist in preparing clear, concise, and timely project status updates for project leaders, business stakeholders, and leadership review.
  • Collect, organize, and summarize project information, trends, and updates to support portfolio visibility, leadership reporting, and decision-making.
  • Maintain project records in PMO tools and templates to ensure information is complete, accurate, current, and available by defined deadlines.
  • Identify and communicate schedule, scope, documentation, or resource concerns to the appropriate project leader or accountable owner for resolution.
  • Support risk and issue management by documenting updates, monitoring mitigation actions, and escalating items that may impact timeline, quality, or deliverables.
  • Assists with documenting project outcomes, lessons learned, and performance information at project close or key milestones.
  • Updates project status, milestone, action item, and reporting information in Maestro completely, accurately, and within defined deadlines.
  • Provides administrative and coordination support for PMO routines, reporting cycles, workshops, and project governance meetings.
  • Performs other related duties as assigned.

What You'll Bring...

  • Minimum of 3 years of experience supporting project management, project coordination, business operations, process improvement, or related work.
  • Bachelor’s Degree preferred; equivalent combination of education and relevant experience may be considered.
  • Strong ability to coordinate cross-functional work, track commitments, maintain accurate project records, and follow up through completion.
  • Experience supporting project meetings, including preparing agendas, capturing notes, documenting decisions, and managing action-item follow-up.
  • Working knowledge of project management principles, planning practices, status reporting, project documentation, and PMO tools/templates.
  • Proficient in Microsoft Office Suite and business applications; familiarity with Maestro, Power BI, project management platforms, Smartsheet, AI tools, or technology projects is a plus.
  • Highly organized, detail-oriented, and accountable, with strong judgment, follow-through, and ability to manage multiple priorities in a dynamic environment.
  • Clear and professional communicator with strong interpersonal skills and the ability to engage effectively with project leaders, business stakeholders, and cross-functional teams.
  • Strong analytical, problem-solving, and information-organization skills, with the ability to translate project details into actionable updates.
