Job Description

The Asset Analyst is responsible for managing the MTA's software asset inventory, licensing compliance, and procurement processes. This role requires strong attention to detail, analytical skills, and proficiency with asset management systems such as ServiceNow. The Software Asset Analyst supports the IT department's mission to ensure legal compliance, optimize software spending, and maintain accurate asset records across the organization.

KEY RESPONSIBILITIES

  • Software Inventory & Asset Tracking
  • Maintain and update the software asset database in ServiceNow, ensuring accuracy and completeness of all software installations, licenses, and deployments across the organization.
  • Track software discovery data, reconcile hardware and software inventories, and identify discrepancies or unauthorized installations.

Licensing Compliance & Management

  • Monitor software license agreements, entitlements, and compliance status to ensure the MTA remains within license terms and avoids legal or financial penalties.
  • Conduct regular license audits, reconcile license consumption against purchases, and prepare compliance reports for management review.
  • Procurement & Vendor Management
  • Support software procurement processes, evaluate vendor quotes, and negotiate licensing terms to optimize software costs while ensuring value.
  • Maintain vendor contracts and renewal tracking, communicate with vendors regarding license renewals and support agreements.
  • Configure and maintain SAM module settings in ServiceNow, including custom reports, dashboards, and automated workflows.
  • Generate and present SAM metrics and reports to stakeholders, providing insights on license utilization, compliance status, and cost optimization opportunities.
  • Ticket Management & Support
  • Process and resolve SAM-related service requests and incidents in ServiceNow, ensuring timely response and resolution of asset and licensing inquiries.
  • Prioritize tickets based on urgency and impact, maintaining service level agreements and escalation procedures.
  • Process Improvement & Documentation
  • Document SAM processes, procedures, and best practices to ensure consistency and knowledge sharing across the team.
  • Identify opportunities for process improvement and efficiency gains within the SAM function.

REQUIRED QUALIFICATIONS

  • High school diploma or equivalent (GED); or equivalent combination of education and experience.
  • 2-3 years of experience in software asset management, IT asset management, or related field.
  • Demonstrated experience with ServiceNow platform, particularly the SAM or IT Asset Management modules.
  • Strong knowledge of software licensing models, compliance requirements, and industry standards.
  • Proficiency in Microsoft Excel and data analysis.
  • Excellent organizational and time management skills with the ability to manage multiple priorities and meet deadlines.
  • Strong written and verbal communication skills; ability to prepare clear documentation and reports
