THE ROLE:

The Supply Chain Manager & Recruiter plays a key role in building and maintaining Optimal’s workforce, responsible for recruiting, onboarding, and managing both subcontractors and internal staff. This role ensures all hires meet company standards, compliance requirements, and align with Optimal’s values.

The position directly impacts operational efficiency, service delivery, and business growth by ensuring the business has the right people in place - externally and internally, to support current and future demand.

KEY RESPONSIBILITIES:

Subcontractor Recruitment & Onboarding (Subcontractors & Internal Roles)

• Source, identify, and recruit subcontractors across all relevant trades and internal office-based roles.
• Manage the end-to-end recruitment process from initial contact to signed agreements or employment contracts.
• Maintain recruitment pipelines to meet business growth and operational needs.
• Coordinate interviews, reference checks, and assessments as part of vetting.
• Ensure all recruits understand Optimal’s standards, values, and expectations.

Vetting & Compliance

• Verify qualifications, certifications, insurances, right-to-work checks, and licenses as applicable.
• Conduct due diligence checks including HSE compliance, references, and suitability.
• Maintain accurate and up-to-date compliance and personnel records within the CRM.
• Monitor renewals and audit records to ensure ongoing compliance.

Process & System Management

• Create and maintain SOPs for recruitment and onboarding processes.
• Work closely with Operations, Finance, and Directors to align hiring needs, contracts, and SLAs.
• Track recruitment activity, onboarding status, and compliance metrics using CRM systems.
• Act as first point of contact during onboarding and build strong long-term working relationship.

Relationship Management

• Act as first point of contact for subcontractors during onboarding.
• Build and nurture long-term relationships to ensure retention and loyalty within the supply chain.
• Conduct regular follow-ups and performance feedback sessions with subcontractors.
• Resolve subcontractor concerns or issues during recruitment and onboarding stages.

WHAT WE ARE LOOKING FOR:

• Experience: 2+ years in recruitment, supply chain, procurement, or people management, with a background in property, construction, or facilities.
• Industry Knowledge: Strong understanding of subcontractor management, trade workflows, and compliance requirements.
• Organisational Skills: Proven ability to manage high-volume recruitment pipelines and maintain accurate compliance records.
• Communication Skills: Professional, persuasive, and confident communicator, able to build strong relationships with subcontractors and internal teams.
• Process-Driven: Skilled in creating and following structured procedures and ensuring consistent compliance.
• Tech-Savvy: Competent in CRM systems, Microsoft 365, and digital onboarding tools.
• Eligible to work in the UK.
