Workplace Experience Coordinator – Front Desk

Location: New York, NY (Onsite, 5 days/week)
Openings: 2 (One position at each NYC office location)
Employment Type: 6-Month W2 Contract
Pay Rate: $80–$95/hour


Russell Tobin is seeking a Workplace Experience Coordinator – Front Desk to support a leading technology company in New York City.

This is an exciting opportunity for a hospitality-driven professional who thrives in a fast-paced, high-touch corporate environment. As the first point of contact for executives, employees, and visitors, you will help deliver a welcoming, seamless, and exceptional workplace experience.

The ideal candidate brings a strong background in corporate reception, front desk operations, concierge services, or hospitality, along with excellent organizational skills, discretion, and a proactive approach to guest service.


Key Responsibilities


Front Desk & Guest Experience

  • Serve as the primary point of contact for visitors, executives, and employees, delivering a polished, professional, and welcoming experience.
  • Manage guest check-in, visitor badges, host notifications, and escorting or directing visitors throughout the office.
  • Coordinate daily visitor traffic, meeting arrivals, deliveries, packages, and front desk communications.
  • Provide high-touch hospitality services, including beverage service, directions, Wi-Fi assistance, and general guest support.
  • Partner with Security and Workplace teams to ensure efficient visitor management and appropriate escalation of concerns.


Workplace Operations & Hospitality Support

  • Assist with scheduling and coordination of meetings, executive visits, and workplace events.
  • Conduct regular walkthroughs of reception areas, conference rooms, and shared spaces to maintain exceptional presentation standards.
  • Reset meeting rooms, restock supplies, and coordinate with Facilities on maintenance and cleanliness needs.
  • Support event setup and breakdown, including furniture arrangements, technology readiness, and hospitality amenities.
  • Assist with employee experience and wellness programming, including registrations, classroom setup, and guest check-in.
  • Maintain accurate visitor logs, front desk documentation, and operational records to support reporting and continuous improvement.


Required Qualifications

  • 2–3+ years of experience in corporate reception, front desk operations, concierge services, hospitality, or a similar guest-facing position.
  • Strong customer service skills with a warm, professional, and hospitality-focused approach.
  • Experience supporting executives, VIP visitors, and other high-profile guests with professionalism and discretion.
  • Excellent communication, multitasking, and organizational skills in busy, high-traffic environments.
  • Ability to independently manage front desk responsibilities, prioritize competing requests, and resolve issues proactively.
  • Experience with visitor management systems, meeting scheduling tools, and Microsoft Office or Google Workspace.
  • Strong attention to detail, reliability, and ability to maintain consistent front desk coverage.
  • Ability to work collaboratively with Security, Facilities, Administrative, and Workplace Experience teams.
  • Bachelor's degree in a related field or equivalent professional experience.
  • Ability to work onsite in New York City.


Preferred Qualifications

  • Corporate reception or concierge experience in a technology company, executive business center, luxury hotel, or high-end office environment.
  • Experience with executive meeting coordination, visitor badging systems, or workplace hospitality programs.
  • Background supporting events, conference rooms, employee amenities, or wellness programming.
  • Experience in a fast-paced, high-growth organization.
  • Hospitality-related certifications or relevant professional training.


Physical Requirements

  • Ability to lift and carry up to 25 pounds repeatedly throughout a shift.
  • Ability to stand or walk for at least 3 hours per day.
  • Ability to move regularly between reception areas, meeting rooms, and shared workplace spaces, with or without reasonable accommodation.
