Job description

About Sapiom

Sapiom is building payment infrastructure for AI agents. We enable agents to make purchases for people, manage payments between businesses, and buy the compute, inference, and APIs they need to operate.
Through one integration, Sapiom connects agents to funding sources and payment methods. Our intent verification checks that each transaction matches what the person or business authorized. Spending controls define where and how much agents can spend, with a record of every transaction and its outcome. We're building toward a world where people and businesses can delegate payments to agents with confidence.
We're a small team in San Francisco with deep experience in payments and infrastructure. Our founder was Director of Engineering in Payments at Shopify for five years. We've raised $50 million in our first 12 months from Accel, Dragonfly, Coinbase Ventures, Okta Ventures, Menlo Ventures and Anthropic.

About the Role

As our Workplace Manager, you'll own the place and the moments that make Sapiom feel like Sapiom. That means the office, the day-to-day workplace, and the people experience around it: all-hands, team rituals, offsites, and the first day someone walks in the door.

We're about 15 people today and growing fast. You'll run a small office that works without anyone noticing, and you'll build the playbook for the one we grow into with more people, more guests, more space. You'll partner closely with our Head of Strategy & Operations, who owns the company's operating cadence, budgets, and people decisions, while you own the execution that makes it all happen on the ground.

This is a hands-on role. Some days you're negotiating with the landlord; other days you're restocking the kitchen before a candidate onsite. You'll also look for the repetitive parts of the job i.e. orders, bookings, reminders, check-ins and automate them with AI and modern tooling so the experience scales without adding headcount. While this role focuses on the workplace, as we grow there will be numerous opportunities for increased scope.

Responsibilities

  • The office. Run the space end to end: landlord and building management, facilities and repairs, seating, security and access cards, health and safety basics. You're the first call when something breaks, and you know exactly who to call next.

  • Workplace operations. Keep food, coffee, snacks, supplies, and deliveries on a set schedule so the office runs without escalation. Manage the vendors behind it including cleaning, catering, maintenance, AV and hold them to a clear standard and budget.

  • Scaling the space. Plan for headcount growth before it arrives: seating plans, meeting room capacity, and, when the time comes, supporting the search, build-out, design and move to a bigger office.

  • All-hands and company rituals. Own the logistics and production of all-hands, lead syncs, and planning days: room, AV, food, run-of-show, recording. Leadership owns the content; you make sure it lands.

  • Events and offsites. Build and run a calendar of team events, recognition moments, swag, and offsites, delivered on time and within budget. Support external events when in the office.

  • Core systems. Administer our key systems, including Google Workspace, Slack, and the other core tools, for everyone who joins so new hires are productive from the first hour.

  • The first-day experience. Make sure every new hire has a desk, gear, swag, and a warm welcome on day one, working with whoever owns onboarding and IT setup.

  • Guests and candidates. Make every visitor - candidates, customers, investors - feel expected and welcomed. Candidate onsites go off without a hitch, from room prep to greeting to walkout.

  • Feedback and automation. Run a light workplace pulse so you know what's working, and automate the repetitive parts of the job with AI and modern tooling.

Requirements

  • 3 - 6 years in workplace experience, office management, facilities, events, or hospitality, ideally at a fast-growing startup.

  • You've run an office day to day and managed the vendors, building, and budget behind it.

  • You've planned and executed company events end to end, from a 15-person team dinner to a multi-day offsite.

  • Highly organized and detail-oriented. You notice the empty coffee bin, the broken chair, and the missing name badge before anyone else does.

  • Warm, polished, and low-ego. You set the tone for how guests and teammates feel, and "that's not my job" isn't in your vocabulary.

  • Self-directed and comfortable building processes from scratch in an early-stage environment.

  • Comfortable with AI and automation tools, and motivated to use them to replace manual work.

  • Sound judgment and discretion.

  • Nice to have: Experience leading an office search, build-out, or move.

What success look like year 1

  • The office runs without escalation. Deliveries, food, and supplies arrive on a set schedule, and nobody has to ask twice.

  • Every all-hands, offsite, and team event happens on time and within budget, and people actually want to show up.

  • Every new hire's day one is set up before they arrive, and new-hire and workplace satisfaction scores trend up.

  • Every candidate onsite and guest visit goes off without a hitch.

  • There's a written plan for the space at 30 and 50 people, and the office keeps up with hiring rather than lagging it.

  • Workplace spend per head is visible and flat or falling as we grow, helped by automation instead of extra headcount.

  • Quarterly pulse surveys show workplace experience is 90%+ satisfied / very satisfied.

Logistics

  • Location: San Francisco in office five days a week. The office is the job.

  • Reports to: Head of Strategy & Operations

  • Start Date: ASAP
