Purchasing Coordinator

Help keep our service teams ready for every job. At Maynor Service Company, you will coordinate parts and material orders for the Service Department at our Apex office and help technicians get what they need on time. This role combines purchase order processing, vendor follow-up, maintaining accurate records, and communication with office and field teams.

What You Will Do

· Review service material requests and confirm part details, quantities, and delivery needs

· Request vendor quotes and confirm pricing, availability, lead times, and shipping costs

· Prepare purchase orders, obtain required approvals, and place orders for the correct jobs or accounts

· Coordinate with service managers and technicians to prioritize urgent parts and material needs

· Track open orders, follow up on back orders, and communicate delivery updates to the team

· Maintain vendor contacts and order records; escalate pricing or supply issues for resolution

· Coordinate deliveries, pickups, returns, warranty paperwork, and follow-up on vendor credits

· Work with receiving and accounting to reconcile orders, shipments, and invoice discrepancies

· Monitor replenishment requests and coordinate with warehouse staff to help prevent stockouts

What You Bring

· High school diploma, GED, or equivalent required

· 2+ in purchasing support, order processing, parts coordination, and/or inventory administration

· Ability to review part specifications, pricing, quantities, and order details accurately

· Strong organization, communication, and multitasking skills, with dependable follow-through

· Computer proficiency, including Microsoft Excel, and ability to learn purchasing systems

· Ability to manage changing priorities, follow up on orders, and escalate issues promptly

· Experience coordinating parts or orders for a service company or skilled trades operation preferred

· ServiceTitan experience and familiarity with purchase orders and inventory tracking preferred

· Knowledge of service parts, materials, equipment, and local suppliers preferred
