Quick Overview
Job Description
Who We Are
Museum of Ice Cream is an inclusive & immersive brand, designed to captivate your sweetest fantasy and sugar-filled daydreams online and IRL. At Museum of Ice Cream, we invite you to believe in the magic of creativity, to remind you that inclusive spaces do exist, and to show you that childlike wonder is worth savoring. In our world, ice cream is the agent of change and the vehicle to ignite the creative spirit that lives in all of us.
Fueled by the power of imagination, MOIC is a universe of possibilities with tons of room for you to explore.
The Challenge
Museum of Ice Cream creates immersive experiences that bring people together through imagination, connection and ice cream. This winter, MOIC will deliver four major brand activations across multiple museums, each with ambitious creative ideas, complex partner commitments and immovable launch dates.
We are looking for a hands-on Creative Producer who can turn approved ideas into exceptional physical experiences. This person will lead production of a major Miami cultural activation in December while supporting three additional brand activations across our portfolio.
This is a mid-level individual-contributor role for someone who knows how activations actually get made. The right person can build the workback, manage vendors and budgets, translate creative intent into production requirements, anticipate risk and keep internal teams, partners and museum Operations moving toward launch.
The Role
As Creative Producer, you will independently own assigned activation workstreams from approved concept through fabrication, installation, launch and closeout. You will be accountable for the plan, budget tracking, production quality, communication and readiness of your projects.
Your anchor assignment will be the production of a high-visibility Miami activation in December. At the same time, you will support three additional winter brand activations, helping the Senior Creative Producer distribute work, maintain visibility across the portfolio and protect every external commitment.
You will partner with creative leads to preserve the idea while making it achievable. You will translate designs into scopes, specifications and execution plans; manage the people and vendors required to deliver them; and resolve issues quickly without allowing quality, safety, schedule or partner expectations to slip.
This role is ideal for an experiential agency producer who is calm under pressure, excellent with details and energized by turning ambitious creative into a real guest experience. You should be comfortable owning the work while knowing when to escalate a decision or risk.
What You’ll Do
Activation Production
- Own: Lead assigned activations from creative approval through sourcing, fabrication, installation, live operation and strike or handoff.
- Plan: Build detailed scopes, workbacks, budgets, responsibility matrices, production schedules and launch-readiness checklists.
- Translate: Turn creative concepts and partner commitments into clear technical requirements, deliverables, vendor briefs and onsite execution plans.
Vendors, Budgets & Logistics
- Source: Identify, brief and manage fabricators, printers, installers, rental companies, venues, caterers and other production partners.
- Control: Obtain and reconcile estimates, purchase requirements and change orders; track committed and forecasted spend against approved project budgets.
- Coordinate: Manage samples, proofs, materials, dimensions, floor plans, technical drawings, shipping, site access, loading, deliveries and installation logistics.
- Document: Keep schedules, production decks, budgets, decisions, specifications, vendor details and project status current in shared systems.
Cross-Functional & Onsite Delivery
- Align: Create a clear operating rhythm within Marketing across Creative and Brand Partnerships, and cross-functionally with Experience Design, museum Operations, external partners and vendors.
- Protect: Track contractual deliverables and approvals with Brand Partnerships, flag scope changes and ensure production stays aligned with the approved creative and partner expectations.
- Deliver Onsite: Lead or support site visits, installs, technical rehearsals, activation launches and issue resolution in market.
- Manage Risk: Surface schedule, cost, quality, safety and operational risks early, recommend solutions and escalate decisions with enough time to act.
Contract Details

- The hourly pay is between $65/hr-$75/hr
- Commitment: Approx. 40 hours per week
- Duration: Through end of December
- Location: Miami, New York City, Chicago or Boston

- A portfolio or case studies demonstrating personal ownership of complex, high-quality activations from planning through onsite execution.
- Experience managing several concurrent projects with fixed launch dates, multiple stakeholders and meaningful external partner expectations.
- Strong vendor-management experience across fabrication, graphics, environmental production, events, installation and logistics.
- Working knowledge of production budgets, estimates, purchase processes, change orders and cost reconciliation.
- The ability to read floor plans, elevations, dimensions, specifications and basic technical or shop drawings.
