Reports To:  Lead, Operational Purchasing Support, Global Procurement  

General Job description:

• Day-to-day tasks within the operational goals and standards area with direct and long-term impact on the field of Global Procurement
• Planning and coordination of operational purchasing related tasks, including data extraction, review, follow-up, data maintenance
• Problem solving by updating and modifying existing working methods and improving the quality of service and data
• Communication with internal and external stakeholders / suppliers regarding operational purchasing detail maintenance and influencing the alignment

KPI:

1. Deliver on agreed tasks with data quality on time
2. Timely maintenance of the details pertaining to Purchase Info Records (PIRs), Source Lists, and Material Master data,
3. Ensure prompt support, visibility and quality of detail for Operational Purchasing
4. Reduced data quality errors and overall KPI compliance
5. Continuous improvement initiatives / projects – with focus to reduce time and cost to support decisions
6. To ensure improvement of efficiency and data quality level, systematically

Technical Competence:

• Strong working knowledge of SAP MM (S4HANA).
• Hands-on experience in Purchase Info Records, Source List, Material Master Maintenance.
• Good knowledge in Purchasing Master Data and related data maintenance.
• Knowledge in Purchase Requisition-Purchase Order-Goods Receipt process, Exception invoice handling, Invoice auditing for error identification. Exposure towards Indirect category products & services will be added advantage.
• Communication / coordination with suppliers will be an added advantage
• Knowledge of process improvement such as Kaizen, Lean 6 Sigma and atomization.
• Good exposure to Microsoft tools such as Excel, Word, PPT, Power App, Teams and SharePoint.

Role and Responsibility:

 

• Purchase Info Records (PIR)

• Create, update, extend, and maintain Purchase Info Records in SAP.
• Validate pricing, supplier, and purchasing organization data before updates.

• Ensure PIR changes comply with procurement policies and approval requirements.
• Support mass updates and data cleansing activities.

 

• Source List Management

• Create and maintain Source Lists for materials and suppliers.
• Ensure correct supplier assignment and sourcing validity periods.
• Monitor and resolve sourcing-related data discrepancies.
• Support procurement teams with sourcing master data requirements.

 

• Material Master Maintenance

• Create and maintain purchasing-related views in Material Master.
• Update procurement attributes, lead times, purchasing groups, MRP-related fields, and other relevant master data.
• Validate data consistency across plants and purchasing organizations.
• Support material extensions and change management requests.

 

• Operational Support

• Process master data requests within defined service levels (SLAs).
• Perform data quality checks and root-cause analysis for data issues.
• Support audits and compliance requirements by maintaining accurate documentation.
• Collaborate with Buyers, Category Managers, Supplier and Source Manager, support teams.
• Participate in process improvement and automation initiatives.

• Data collection, Reporting, Data flow monitoring relating to master data & purchasing processes
• Optimizing the support and processes for purchasing
• Participate in global projects with global team and deliver results
• Functional support for Global Procurement processes according to task assignments from Global Process Owners
• Adhoc operational support to ensure efficient Procurement processes
• Awareness of ISO 14001 & 45001 standard

Education Required: Any Graduate

Professional Experience Required (Max – Min.): 1 ~ 3 years
