Scope of Position:
Assist Manager and Supervisor with all aspects of the Air / Ocean Export Department, while being responsible for the timely, accurate, and compliant execution of international air and ocean export shipments. This position supports customers, overseas offices, carriers, and service providers while ensuring the proper movement of freight, adherence to company standards, regulatory requirements, and customer expectations. The role requires a strong commitment to operational excellence, customer service, compliance, and teamwork.
Operations:
- Ensure smooth and timely freight process flow.
- Prepare various documents required for international air and ocean transportation.
- Coordinate with contracted vendors to procure space and services supporting customer requirements.
- Ensure accurate and timely client and vendor billing.
- Ensure accurate and timely data entry into our operating systems.
- Interact with customers in arranging their international export shipments while meeting customer service standards.
- Meet compliance requirements at all times. This includes internal policies and procedures such as Operational Process Standards (OPS), customer-specific requirements, and government regulations.
- Understand department process flow and continuously look for opportunities to improve efficiency and service quality.
- Ensure all customer standard operating procedures are followed as documented in the DLSOP.
- Work with the team to meet KPI standards in accordance with company procedures.
- Monitor shipment reports, exceptions, and pending items to ensure total customer satisfaction.
- Maintain effective overseas communications to support shipment visibility and issue resolution.
- Escalate service failures, operational concerns, and compliance issues to the Supervisor or Manager as appropriate.
- Support the handling of specialized shipments, including healthcare, temperature-controlled, dangerous goods, and other regulated commodities when applicable.
Support the supervisor in the following areas:
- Daily review of workflow, operational reports, and shipment queues to ensure timely updates and resolution of pending items.
- Build and maintain strong relationships with vendors (airlines, ocean carriers, trucking companies, and other service providers) and customers.
- Support department initiatives focused on operational excellence, customer satisfaction, and process improvement.
- Communicate recurring operational issues and process improvement opportunities to department leadership.
Finances:
- Proactively support the maintenance and monitoring of account payments within 30 days.
- Ensure company credit procedures are followed and utilized effectively.
- Ensure accurate and timely billing of vendors and assist with resolving accounting issues.
- Monitor accounts payable to vendors (airlines, ocean carriers, truckers, and other service providers) utilizing available reports.
- Assist in identifying and resolving intercompany accounting discrepancies.
- Review shipment costs and charges for accuracy prior to file closure.
Sales / Retention:
- Assist the Manager and Supervisor in responding timely to requests for information and market-competitive pricing matching the scope of services required by the customer.
- Participate in the transition of new business and updates to existing business.
- Assist in customer retention efforts and customer reviews, ensuring relevant information is documented in CRS.
- Maintain awareness of market conditions, carrier service offerings, and routing options to support customer requirements.
- Promote a positive customer experience through proactive, professional, and solution-oriented service.
People:
- Support the Supervisor and department as needed.
- Be a team player and support colleagues and internal customers with timely information and assistance.
- Build and maintain positive working relationships with customers, vendors, overseas offices, and internal departments.
- Actively participate in training and professional development opportunities.

Systems:
- Promote productivity tools (e.g., eDOC, eDOC TreeView, export databases, process management tools, and reporting applications).

- Maintain accurate and complete shipment records within company systems.
- Support technology initiatives that improve operational efficiency and customer visibility.

- 1-2 years of industry specific qualification (country specific).
- Good market and product knowledge.

- Pro-active, strong organizational skills.
- Good computer skills (Excel, Word).
- Hazardous Materials certification (preferred).
- Fluent in English.
