Seeking an Executive Assistant that will provide administrative support to an Executive in the Music Industry. This key support role functions as a trusted team member responsible for day-to-day administrative and operational activities. This individual will possess exceptional communication skills, ensure seamless execution of priorities, and operate with autonomy.
What you'll do:
- Provide administrative support for the Executive, coordinating meetings, scheduling, and setting up client/staff meetings, lunches, and heavy calendar management in a fast-paced creative environment
- Proactively anticipates needs and identifies opportunities to optimize time and impact
- Adapt quickly to “in the moment changes”, ensuring continuous communication and coordination
- Prepare for meetings — including agendas, briefings and follow-up actions
- Responsible for booking travel, manage reservations, check-in for flights and be on standby when executive is traveling
- Proactively organize and prioritize daily workload
- Handle sensitive and confidential information with discretion
- Assist with general office errands, support, and assist with various administrative tasks and projects as needed
- Ad hoc projects and perform other duties as assigned.
Who you are:
- Outstanding organizational and time-management skills with the ability to manage competing priorities
- Ability to deliver complex messages confidently — clear, concise, and professional
- Superior interpersonal and relationship-building skills with the ability to communicate effectively across all levels of the organization
- Action oriented problem solver that operates in a calm, steadfast, and detail-oriented manner
- Proficiency with digital collaboration tools (Microsoft 365, Teams, Zoom, Concur, etc.).
- Ability to navigate within a complex global organization with flexibility and resilience
- Demonstrated ability to manage confidential and sensitive information with sound judgment
- Stay calm and centered during moments of high pressure while maintaining a sense of urgency
- Prior music or entertainment industry experience supporting senior level executives preferred
