Job Description

Job Title: Financial Administrator 3 / Fiscal Officer (FO)
Project Duration: 6 Months (possibility of direct hire)
Location: Lexington, MA 
Hybrid 2 days in a week
 

Principal Duties and Responsibilities (Essential Functions)
  • Administers the preparation, review, and submission of complex budgets and/or grant proposals to federal, foundation, and other research sponsors, following appropriate policies and procedures, including activities such as: reviewing solicitations and determining necessary components; organizing complex Principal Investigator (PI) proposals, often including multiple PIs and/or multi-unit proposals; managing proposals with cost sharing, under-recovery, and/or sub-recipient costs; and managing renewal and submission in accordance with MIT/sponsor/donor policies.
  • Oversees proposal requests and assignments to Financial Coordinators, Just-In-Time (JIT) requests, work with RAS, the Principal Investigator (PI), financial and administrative staffs to ensure timely submissions.
  • Oversees award set-ups, closeouts, extensions, annual financial reports, manage payroll suspense, tracking and addressing account overruns, processing salary changes and distributions. Oversees and helps to solve issues with Financial Review and Control compliance, monitoring past-due travel expenses, procurement card sweeps and violations which are primarily managed and supported by the Financial Assistant. Administer ongoing sponsored research activity to ensure compliance with complex sponsor requirements, agency and award terms and conditions, and MIT policies.
  • Guides and provides day-to-day assistance to the Chemistry financial and administrative staff with issues and questions related to account spending, tracking, projections, personnel appointments, travel, and general MIT policies and procedures.
  • Monitors and tracks payroll suspense account, work with faculty and financial staffs to ensure timely removal of all expenses (before fiscal year end).
  • Manages Chem-Resadmin ticket requests and assignments, ensure timely responses and follow-ups.
  • Interprets MIT and government policies such as the Uniform Guidance and the Federal Acquisition Regulation (FAR), Cost Accounting Standards, Office of Management and Budget circulars, and sponsored guidelines.
  • Advises, educates, and collaborates with principal investigators (PIs), faculty, researchers, and staff on all aspects of sponsored research administration. Escalate complex matters to Senior Financial Officer.
  • Supports the development and dissemination of training to financial and administrative staff in collaboration with the financial team.
  • Develops and maintains relationships with a variety of departments and centralized offices at multiple institutions to facilitate financial activities for current and new initiatives.
  • Identifies areas of improvement and providing solutions. Participate in the implements financial policy, procedure, and process improvements.
  • Participates in special projects and/or perform other duties as assigned by Senior Financial Officer.
 

Qualifications & Skills
Required:
  • Bachelor’s degree.
  • Minimum of 5 years of relevant experience with federal grants and contracts and/or financial administration in a nonprofit organization.
  • Proficiency with Microsoft Office.
  • Strong customer service orientation.
  • Excellent organizational skills.

Position Details
  • Appointment: Up to 6 months.
  • Extension: This appointment cannot be extended.
  • Direct Hire: There is a possibility of direct hire.
  • Reason for Opening: This position is due to a resignation and the need for coverage until the position is permanently filled.
  • Work Arrangement: Hybrid — onsite 2 days per week and remote 3 days per week.
