Job Description

Maintenance Master Data Specialist – Portsmouth, NH

This is a fully site-based role. Working together in person supports close, real-time collaboration and the technical precision needed to maintain accurate maintenance operations to the highest quality standards.

Compensation for this role will be determined by the candidate’s qualifications, skills, experience, and relevant knowledge.

What you will do:

  • Perform high-volume, accurate data entry into maintenance databases, SAP, and system records.

  • Maintain, organize, and archive paper and electronic maintenance files, equipment logs, and operational documentation.

  • Assist the maintenance team with timely updates to records, preventative maintenance schedules, and work order details.

  • Ensure data consistency, integrity, and compliance across all maintenance documentation in accordance with site standards.

  • Apply basic Data Integrity principles to support day-to-day records management and system updates.

  • Support general administrative tasks for the maintenance department to meet operational requirements.

  • Communicate effectively with team members to resolve documentation gaps and maintain accurate equipment histories.


What we are looking for:

  • High School Diploma or equivalent required; prior administrative, data entry, or office support experience preferred.

  • High attention to detail with strong accuracy and fast learning agility in a high-volume data environment.

  • Basic proficiency in Microsoft Office (Word, Excel) and general computer systems navigation.

  • Prior experience with SAP (or similar enterprise resource planning systems) is a strong plus.

  • Prior experience with GMP (Good Manufacturing Practice) documentation standards is preferred.

  • Full availability to work an onsite schedule (Monday – Friday, 8:00 AM – 5:00 PM).
