What You Can Expect to Do
As a Customer Services Supervisor, you’ll lead our front desk operations and empower a collaborative team. In this dynamic, hands-on role, you will guide daily workflows, champion exceptional client experiences, and foster a supportive team culture where your leadership makes a real impact for our patients, clients, and team.
Key Responsibilities
- Team Leadership & Talent Development: Recruit, onboard, train, and coach Client Service Representatives, fostering a culture of accountability, professionalism, and teamwork while providing hands-on support (maintaining a visible presence with at least 60% of working time spent directly supporting team operations).
- Performance Monitoring & Data Utilization: Monitor phone performance, appointment accuracy, and operational metrics, utilizing data-driven insights to implement process improvements and drive departmental enhancements.
- Cross-Functional Collaboration & Compliance: Partner with other hospital departments to promote smooth workflows, ensure adherence to regulatory standards and internal policies, and support hospital-wide operational initiatives
- Financial Administration: Oversee front desk financial transactions—including payment collection, invoicing accuracy, refunds, billing inquiries, and accounts receivable activities like payment plans and collections.
- Operations & Workflow Management: Oversee daily reception, scheduling, and client communication processes to ensure adherence to service standards, policies, and efficient front desk workflows, including hands-on shift coverage during staffing shortages.
Requirements/Qualifications
- Previous supervisory/leadership experience in a veterinary hospital (emergency/specialty experience preferred)
- Ability to multitask and remain composed in a high-stress environment
- Strong interpersonal and communication skills
- Compassionate, dependable, and proactive team player
- Comfortable with computers and veterinary practice management software (Cornerstone, Instinct)
