Overview
As the PMO & Portfolio Analyst, you are at the operational core of the Brands Services program management office. You administer initiative intake, maintain the portfolio system of record, and produce the reporting and analysis that Brands Services leadership uses to make prioritization and resourcing decisions. You track dependencies, surface risks before they reach a milestone, and prepare the materials that make governance forums decision-ready. In this role, you are the person who knows the true status of every active initiative in the portfolio and can explain what it means.
At Rithum, all team members are expected to leverage AI to work smarter, accelerate decision-making, automate repeatable work, and improve outcomes. You are encouraged to continuously identify opportunities to apply AI, data, and scalable processes to enhance productivity, drive innovation, and deliver greater value for our clients, partners, and teams while maintaining appropriate judgment, quality, security, and compliance.
Responsibilities
Intake Administration & Triage Support
- Administer intake for Brands Services initiative requests: log, classify, route, and track status against turnaround targets
- Prepare triage packets and maintain decision logs so prioritization rationale stays traceable
Portfolio Reporting & Executive-Ready Analysis
- Build and maintain the portfolio reporting layer (status, milestones, health) sourced from existing systems, and keep improving it by automating manual steps
- Produce executive-ready analysis and KPI reporting that leads with the decision needed and the driver behind any variance
Initiative Tracking, Dependencies & Risk
- Maintain the initiative inventory of record (owners, success criteria, milestones, definition of done)
- Maintain the dependency register and risk/issue log, escalating against defined thresholds before milestones are at risk
Governance Preparation & Operating Cadence
- Run the operating cadence: prepare agendas, pre-reads, and status packets for governance forums, and capture/follow up on decisions and action items
- Maintain PMO templates and standards, and partner with initiative owners to keep portfolio data current and accurate
Qualifications
Minimum Qualifications
- 2+ years of experience in program or project coordination, PMO operations, business operations, or an analyst role supporting initiative or portfolio reporting
- Demonstrated experience building and maintaining status or performance reporting for leadership
- Hands-on experience with a project or work management tool (Jira, Asana, Monday.com, Smartsheet, or similar), including building views, dashboards, and reports
- Advanced proficiency in Excel or Google Sheets, including pivot tables, lookups, and multi-source data consolidation, applied to portfolio or KPI analysis
- Experience tracking risks, issues, and dependencies across multiple concurrent initiatives
- Experience preparing meeting materials, pre-reads, or decision documents for senior stakeholders
- Experience using AI tools (ChatGPT, Copilot, Claude, etc.) to accelerate and elevate your outcomes; including but not limited to communication drafting, data analysis, prompt engineering, and/or documentation
Preferred Qualifications
- 3+ years of experience in PMO operations, program management, or business operations
- Bachelor's degree in the applicable discipline or related field preferred
- Experience in a SaaS, technology, or e-commerce organization
- Experience with business intelligence or visualization tools (Power BI, Tableau, Looker) or workflow automation tools (Power Automate, Zapier, or similar)
- Experience supporting an annual or quarterly planning cycle end to end
- Strong written and verbal communication, with the ability to compress detail into a clear executive summary
- Comfort with ambiguity and a bias toward structuring work that is not yet defined
