About the role

Our Managed by Industrious brand delivers our award-winning service and operational excellence to major enterprise clients in their dedicated, large-scale spaces. We create exceptional work environments through seamless operations and exceptional hospitality.
As the Workplace Experience Manager, you will be much more than an office administrator.

You are the dedicated, trusted on-site operations and hospitality leader for a single, major client: a fast-growing global digital bank. This is a highly visible, hands-on role where you'll own the full employee experience for their office. You'll serve as the connective tissue between the physical workplace, the client's culture, and the people who bring it to life every day.

This is a 10-month fixed-term role, salaried and full-time with full Industrious benefits. San Francisco is a busy, growing market for us, so we anticipate opportunities to move into a permanent role with Industrious at the end of the term, subject to performance and available roles.

About this office

Our client's team brings together engineering, technical and cross-functional teams, with senior executives on site every day. The office runs on a hybrid rhythm: some days are busy with onboarding sessions, visiting teams and executive visits, others are quieter. The energy is balanced, a mix of heads-down work and collaboration. The team works on Slack and values quick, clear replies during the day.

Beyond running a great space, you'll help shape how it's used. You'll be the person who keeps meeting rooms, desks and common areas ready for the next person, brings energy to the quieter days, and helps teams connect with each other, so employees never need to ask for every small fix.

To achieve this mission you'll need to be flexible and comfortable with ambiguity as we shape this new product line for Industrious, in partnership with the client.

Key Responsibilities

Premier Experience & Concierge Service

  • Be the face of hospitality and the first point of contact for all employees and guests, with warm greetings and regular check-ins.

  • Provide Admin/Concierge services, including guest registration, new employee onboarding (access, keys, space familiarization), and managing mail/courier services.

  • Support onboarding sessions, visiting teams, executive visits and coffee breaks so every gathering runs smoothly.

  • Respond to requests in real time on Slack, keeping the team informed with clear, timely updates.

  • Coordinate "surprise & delight" moments and team-building activations.

Operations & Facility Management

  • Manage all facility operations to ensure a flawless environment.

  • Walk the space throughout the day to keep meeting rooms, desks and common areas ready to use, noticing and fixing issues early.

  • Reset workstations and meeting rooms, clean monitors, and clear cups, mugs and trash from desks and shared spaces.

  • Clean and replenish coffee machines (water and beans) and keep kitchen areas stocked and tidy.

  • Coordinate quickly with the client's facilities, IT and security teams when an issue needs their support.

  • Oversee key vendors (e.g., maintenance, supplies, shredding).

  • Proactively manage inventory, ordering, and stocking of all essential office, conference room, and cafe supplies, ensuring budgets are met.

Employee Engagement & Programming

  • Execute a detailed, daily Food & Beverage (F&B) program, including ordering all groceries, restocking snacks and drinks, preparing fresh fruit, and elevated weekly lunch services.

  • Plan and execute weekly happy hours and 2-3 large-scale team events (e.g., social mixers, holiday parties) each month.

  • Coordinate monthly employee engagement activations (e.g., volunteering, activity stations).

  • Boost presence and energy on lower-attendance days with activations that bring people in and connect teams across the office.

Workplace Culture & Habits

  • Encourage shared-space etiquette: clearing cups and trash, resetting chairs and meeting rooms after use, and keeping common areas welcoming.

  • Reinforce sustainability and waste sorting through clear guidance and everyday habits.

About you:

  • A proven track record in operations, hospitality, or experience management in a premium environment (e.g., luxury hotel, high-end corporate office, upscale venue).

  • Demonstrated history of vendor management, inventory control, and budget oversight.

  • Exceptional professional demeanor and polished communication skills: you are comfortable interacting with senior executives every day and delivering concierge-level service, and equally at home with technical teams in a relaxed office culture.

  • Comfortable with hands-on food service, presentation and upkeep, including snack trays, fruit preparation, coffee-machine care, workstation resets and daily grocery handling.

  • Proven ability to plan, organize, and execute large and small-scale events flawlessly.

  • Experience encouraging good habits in a shared space (tidiness, recycling, room etiquette) in a way that feels friendly, not policed.

  • Technologically savvy with proficiency in common workplace tools (e.g., Slack, Google Workspace, scheduling/booking platforms), and responsive in real time.

  • Must be a proactive problem-solver who anticipates needs and can work independently without constant supervision, including early starts from 7:30 AM.

Why You're a Great Fit

You are driven by a need for operational perfection, and you understand that the smallest details make the biggest difference. You notice the empty coffee machine, the unreset meeting room and the quiet Friday before anyone else does, and you sort them before anyone has to ask. You are resilient, embrace hard work, and are energized by supporting and elevating a single client's culture through warm, proactive service. You are ready to independently manage an exclusive, high-profile space where your efforts directly contribute to the client's success.

Compensation & Benefits

The base salary for this role is $85,000 depending on experience, skills, and role alignment.

This role is also eligible for a $5,000 bonus on completion of the 10 month fixed term.
