Office Manager
MPROGEN is seeking a highly organized and proactive Office Manager to oversee the daily administrative operations of our remote workforce. This role is responsible for coordinating office functions, improving operational efficiency, managing administrative processes, supporting leadership, and ensuring seamless communication across departments. The ideal candidate is detail-oriented, resourceful, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities
- Manage and coordinate day-to-day administrative operations.
- Develop and maintain office policies, procedures, and best practices.
- Coordinate virtual meetings, company events, and executive calendars.
- Monitor office budgets, invoices, expense reports, and purchasing activities.
- Maintain company records, files, and confidential documentation.
- Oversee vendor relationships and negotiate service agreements.
- Coordinate onboarding and offboarding for new and departing employees.
- Support HR with employee documentation and administrative tasks.
- Manage office equipment, software subscriptions, and operational resources.
- Prepare reports, presentations, and operational summaries for leadership.
- Assist with project coordination across multiple departments.
- Ensure compliance with company policies and applicable regulations.
- Respond to employee administrative inquiries and resolve operational issues.
- Identify opportunities to improve workflow efficiency and productivity.
Qualifications
- Bachelor’s degree in Business Administration, Management, or a related field preferred.
- Minimum of 3 years of office management or administrative leadership experience.
- Excellent organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency with Microsoft Office 365 and Google Workspace.
- Experience using project management and collaboration tools such as Asana, Trello, Monday.com, or similar platforms.
- Ability to maintain confidentiality and handle sensitive information.
- Strong problem-solving and decision-making skills.
- Ability to manage multiple projects with minimal supervision.
- Experience supporting remote teams is preferred.
