On-site four days per week, up to five hours per day; flexible hours between 9 a.m. and 4 p.m.

We’re seeking an organized, welcoming office professional to help keep our workplace running smoothly. Based at reception, you’ll greet visitors, support staff, and ensure that workspaces, supplies, and equipment are ready for use. You'll handle shipping and maintain our inventory of educational publications and promotional items.

  • Welcome and assist staff with day-to-day office needs including support for office and meeting technology.
  • Keep workspaces, the kitchen, and conference rooms clean, stocked, and functional.
  • Organize supplies, publications, and outreach materials in large storage area/mailroom. Maintain inventory records in our CRM and coordinate reorders.
  • Process incoming mail, pack and ship boxes of publications and giveaways; operate the postage machine; and maintain the copier, including meter readings and service coordination.
  • Manage conference room scheduling and assist with meeting setup, catering, and cleanup.
  • Coordinate repairs and maintenance with building management and equipment vendors.
  • Supervise a supply and mailroom support employee for approximately 8 hours per week.
  • A service-oriented approach and a keen eye for order: you notice when something is out of place and take initiative to correct it.
  • Ability to arrange supplies and work areas logically so materials are easy to find and everyday tasks flow efficiently.
  • Experience in office operations or a similar role, including organizing office space, storage areas and maintaining inventory.
  • A service-oriented approach, strong organizational skills, and the initiative to identify needs and follow through.
  • Proficiency with everyday office technology and equipment (laptops, monitors, mice, keyboards, cameras).
  • Ability to prioritize requests, schedule work, oversee completion while maintaining active communication with internal customers.
  • Coordinate service providers, and supervise a part/time support employee.
  • Ability to perform hands-on tasks such as stocking, packing, and moving materials; ability to lift up to 40 pounds, with reasonable accommodation as needed.
