Role Overview

The EDI & Order Management Support Specialist keeps orders, inventory, and product data flowing accurately across Maxwood's business systems. This role owns recurring transactional processes, monitors EDI and system data flows, and troubleshoots order and data exceptions — working closely with our Systems Administrator and cross-functional teams to resolve routine issues before they become bigger problems. This is a high-impact position where the right person frees up senior technical resources to focus on larger systems initiatives by keeping day-to-day operations running smoothly. Specific experience with our tech stack isn't required — we're looking for someone who understands ERP, order management, EDI, or similar transactional environments and can learn new systems quickly.

Responsibilities

  • Monitor and support daily processing of customer orders across EDI and order management systems

  • Identify, investigate, and correct order errors, failed transactions, and other processing exceptions

  • Monitor EDI and system-to-system data feeds and troubleshoot routine transmission or data issues

  • Maintain accurate customer, product, inventory, and related master data across business systems

  • Support inventory-related processes, including stock availability and warehouse data accuracy

  • Perform routine data imports, uploads, updates, and validation activities

  • Research discrepancies by tracing information across systems to identify the source of errors

  • Recognize recurring issues and partner with internal teams to identify root causes and improve processes

  • Coordinate with Customer Care, Operations, Warehouse, and Sales to resolve order and data issues

  • Maintain documentation for recurring processes, system procedures, and common issue resolution

  • Escalate complex or system-level issues to the right technical resource with clear documentation

  • Support reporting, data validation, and other system administration activities as needed

Requirements

  • Experience working in an ERP, order management, inventory management, EDI, eCommerce, supply chain, or similar transactional environment

  • General understanding of how customer orders, inventory, and product information move through business systems

  • Strong attention to detail with a high level of accuracy working with transactional and master data

  • Strong problem-solving skills and the ability to independently investigate and resolve routine processing issues

  • Ability to recognize patterns and distinguish one-time errors from recurring system or process issues

  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment

  • Clear written and verbal communication skills, with the ability to explain issues and escalate effectively

  • Comfortable learning and working across multiple software platforms

  • Proficiency with Excel or similar spreadsheet tools preferred

  • EDI experience or familiarity with electronic business transactions preferred, not required
