Job Description

  • The Data Conversion Analyst is responsible for planning, coordinating, and executing the migration of clinical documents and patient data from legacy systems into Epic.
  • This role specializes in the conversion and validation of Continuity of Care Documents (CCDs), document indexing, and the migration of OnBase Document Management System (DMS) links to Epic.
  • The analyst collaborates with clinical, application, interface, and technical teams to ensure accurate, compliant, and seamless access to patient records following system implementation.

Required Qualifications

  • Bachelor''s degree in Health Information Management, Health Informatics, Information Technology, Computer Science, or a related field, or equivalent work experience.
  • 3+ years of experience supporting healthcare data conversion, EHR implementations, or clinical data migration projects.
  • Hands-on experience with Epic implementations, upgrades, or optimization projects.
  • Experience working with OnBase Document Management System (DMS) and document migration processes.
  • Knowledge of CCD/CCDA document standards, healthcare interoperability, and clinical documentation workflows.
  • Proficiency in Microsoft Excel, SQL, and data validation techniques.
  • Understanding of HIPAA regulations and protected health information (PHI) requirements.

Key Responsibilities

  • Analyze, map, and validate clinical and document data for migration into Epic.
  • Coordinate the conversion and validation of Continuity of Care Documents (CCDs/CCDAs) to ensure accurate clinical data availability.
  • Validate migrated document metadata, indexing, patient associations, and document accessibility within Epic.
  • Support migration and reconciliation of OnBase DMS document links to Epic, ensuring documents are properly linked and accessible from the patient chart.
  • Develop and execute data validation scripts and reconciliation reports for converted records.
  • Collaborate with Epic application analysts, interface teams, HIM, clinical staff, and project managers throughout the conversion lifecycle.
  • Perform quality assurance testing, integrated testing, User Acceptance Testing (UAT), and post-go-live validation.
  • Investigate and resolve data discrepancies, broken document links, duplicate records, and indexing issues.
  • Maintain comprehensive documentation of data mapping, conversion specifications, validation results, and issue resolution.
  • Ensure all conversion activities comply with organizational data governance policies and healthcare regulatory standards.

Technical Skills

  • EPIC Certification Required: Bridges.
  • Experience with Epic electronic health record implementations.
  • Experience supporting OnBase DMS integrations and document migrations.
  • Knowledge of CCD/CCDA, HL7, and healthcare interoperability standards.
  • Familiarity with ETL processes, data mapping, and reconciliation methodologies.
  • Experience using reporting and analytics tools such as Microsoft Excel .
