About the Role
Located at our main desk on the first floor, you will be the face of the team and the primary point of contact for students, alumni, faculty, employers, visitors, and staff. As a critical member of the MCS Administrative Team, you will provide "first line” coverage and support for our advising programs, career fairs, and employer events. What You Will Do
Be the First Point of Contact: Create a warm, welcoming environment for all guests. Greet visitors, answer phones, and manage the general office inbox to direct inquiries efficiently.
Provide Direct Support: Assist students with check-ins and printing during afternoon drop-in hours, and help users navigate MCS electronic resources and online platforms.
Manage Data & Communications: Utilize and update our career services management platform (Crimson Careers) and work alongside the Employer Engagement Team to process internships and job opportunities.
Support Events: Assist with in-person event coverage. Set up and troubleshoot first-floor and event technologies (A/V systems, check-in kiosks, display screens).
Maintain the Space: Oversee reception and event spaces. This includes configuring light furniture for meetings, restocking coffee and office supplies, and keeping the lobby tidy.
Collaborate: Ensure a timely, accurate flow of communication among staff, students, and employers.
What We Are Looking For
Basic Qualifications:
At least 3 years of administrative experience (education beyond high school may count toward this requirement).
Working knowledge of Microsoft Office applications, specifically MS Word, Outlook, and SharePoint.
Preferred Qualifications:
BA/BS degree and/or previous relevant experience
Exceptional customer service skills with a willingness to always "go the extra mile."
A flexible team player with a positive attitude, professional demeanor, and excellent problem-solving skills.
Strong diplomacy, communication, and web navigation skills.
Ability to anticipate needs, prioritize complex and confidential tasks simultaneously, and maintain a high level of attention to detail.
Comfortable functioning at a high level in a public, shared workspace.
Advanced proficiency in MS Word, Outlook, Excel, and SharePoint.
Working Conditions & Logistics
Schedule & Flexibility: This is a fully in-person role requiring 5 days a week. You will work 35 hours per week with a 1-hour unpaid lunch break daily. Standard shifts are either 9:00 AM – 5:00 PM or 10:00 AM – 6:00 PM. Note: You must have the flexibility to adjust your hours to cover before-hours (8:00 AM) or after-hours (up to 8:00 PM) advising and employer events based on office needs.
