Overview

This role serves as an administrative backbone for a growing team of leasing professionals, providing the day-to-day support needed to keep operations running efficiently. Working cross-functionally with other departments, this position plays an integral part in the successful leasing of space across our property portfolio. The ideal candidate is a proactive self-starter who communicates effectively, builds rapport easily, and can adapt to a variety of working styles and personalities. They thrive in a fast-paced environment and bring strong attention to detail along with a continuous drive to improve processes and expedite delivery.

 

What to expect

  • Build and maintain relationships with Leasing Representatives, Tenants, and Brokers
  • Support multiple Leasing Representatives with calendar management, meeting coordination, travel arrangements, and expense reporting
  • Coordinate meeting logistics and prepare tailored materials for tenant and broker meetings, including property collateral, WordPress site links, and relevant deal information
  • Assist in preparing for monthly Executive Committee leasing meetings, including compiling lease plans, reports, and supporting materials
  • Arrange catering for small and large group meetings as needed
  • Manage Salesforce pipeline activity across the full leasing lifecycle, including new deals, amendments, renewals, extensions, and dead deal tracking, while maintaining data accuracy and consistency
  • Serve as the central liaison for cross-functional coordination across multiple internal departments and teams
  • Prepare, format, and compile a variety of documents and correspondence, including proposals, counterproposals, lease requests, commission agreements, and lease provision summaries
  • Manage and organize document flow, ensuring records are accurately tracked and easily accessible
  • Research and prospect potential leads using platforms such as ZoomInfo, Salesgenie, and SitesUSA
  • Provide receptionist backup and phone coverage as needed
  • Take on additional responsibilities and projects to support team goals

Immediate Opportunity/Initial Success

This role is part of a 5 person team that supports the leasing team.  They work together to make sure all the leasing professionals have the administrative support to lease out space from initial conversations with potential tenants to the signed lease.

 

Potential for Growth/Longer Term Success

As part of the leasing administrative service team, we expect this person to learn the full leasing lifecycle and excel in helping to bring on new tenants.  Long term, there is an opportunity to grow within the administration leasing team or other administrative roles within across the organization.  

  • 5 plus years of administrative experience working in a busy, professional office environment supporting multiple professionals
  • Advanced level Microsoft Office skills (Word, Outlook, Excel)
  • Commitment to excellence and pride in work product
  • Excellent communication skills (written and verbal) and strong attention to detail
  • Self-starter who likes working on a team and enjoys finding ways to make tasks and projects more efficient
  • Strong interpersonal skills with a positive outlook and attitude
  • Ability to manage, prioritize and own your work schedule
  • Real Estate background desired, but not required
  • Bachelor’s Degree desired, but not required.
