Job Description

Cosmic Shielding Corporation is looking for an Office Manager, Business Operations to help keep our Huntsville operations organized, efficient, and running smoothly. This is a hands-on role supporting the day-to-day needs of a growing space company.

The role will manage office operations, facilities, vendors, supplies, scheduling, onboarding support, internal coordination, and administrative processes while working closely with leadership and teams across the company.

We are looking for someone who is highly organized, proactive, resourceful, detail-oriented, and comfortable taking ownership of a wide range of responsibilities. The right person will enjoy solving problems, improving processes, and helping create an efficient and professional working environment as Cosmic grows.

This is a full-time, on-site position based in Huntsville, Alabama.
Responsibilities

  • Manage day-to-day office operations and help ensure the Huntsville facility runs efficiently and professionally
  • Serve as a primary point of contact for guests, customers, vendors, and other visitors
  • Coordinate office vendors, building management, maintenance, and facility needs
  • Maintain office supplies, equipment, and general inventory
  • Support employee onboarding and offboarding, including laptops, badges, NDAs, access, and other administrative needs
  • Coordinate meetings, internal events, team-building activities, and company gatherings
  • Support scheduling and administrative coordination for leadership and cross-functional teams
  • Manage inbound and outbound shipments, including customer samples, test hardware, and other company materials
  • Coordinate mail and package receipt and distribution
  • Maintain office policies, procedures, records, and administrative documentation
  • Assist with expense processing, purchasing, and vendor coordination
  • Support internal communications and company-wide administrative needs
  • Help with workspace planning as the Huntsville team grows
  • Handle confidential and sensitive information with discretion
  • Identify and implement opportunities to improve office processes, organization, and operational efficiency
  • Take on additional business operations and administrative responsibilities as the company grows
  • 3–5+ years of experience in office management, business operations, administration, executive support, or a related role
  • Demonstrated ability to manage multiple priorities with minimal supervision
  • Strong organizational, communication, and time-management skills
  • Excellent attention to detail and follow-through
  • Comfortable coordinating across multiple teams and levels of an organization
  • Strong working knowledge of Microsoft Office, including Outlook, Word, Excel, and PowerPoint
  • Comfortable managing vendors, facilities, scheduling, and administrative processes
  • Ability to work independently, take initiative, and solve problems as they arise
  • Comfortable operating in a fast-moving environment where responsibilities may evolve as the company grows
  • Professional judgment and discretion when handling confidential information
  • Must be able to work full-time on-site in Huntsville, Alabama

Preferred Skills and Experience

  • Bachelor’s degree
  • Experience supporting a growing startup, technology company, aerospace company, defense contractor, manufacturing organization, or similar environment
  • Experience with onboarding, facilities coordination, purchasing, expense management, or vendor management
  • Experience supporting senior leadership
  • Experience managing office moves, expansions, or workspace planning
  • Familiarity with project management or business operations tools
  • Experience coordinating company events, customer visits, or executive meetings
