Job Description
About the department
The Facilities team plays a vital role in creating a safe, welcoming and high-quality environment for our patients, guests and colleagues. Working behind the scenes and alongside our clinical teams, Facilities helps ensure our centres run smoothly, efficiently and to the high standards our patients expect from Welbeck.
From maintaining the presentation of our spaces and supporting housekeeping, to portering, stores, supplies, laundry and waste management, the team provides the essential services that keep our centres operating safely and effectively.
It’s a hands-on, collaborative function where everyone plays an important part. The team takes pride in being proactive, responsive and willing to go the extra mile to support both our clinical and operational teams and deliver an exceptional patient experience.
About the role
As a Facilities Coordinator, you’ll play a key role in supporting the safe, efficient and smooth running of Welbeck. Working closely with the Head of Facilities, you’ll coordinate day-to-day facilities services, maintenance requests and contractor visits, helping to ensure the centre remains well maintained, compliant and ready to deliver an excellent patient experience.
You’ll work collaboratively with clinical and operational teams, keeping track of maintenance activities, compliance records and service requests while ensuring issues are followed up promptly. This is a varied, hands-on role where your organisation, communication and practical problem-solving skills will help create an environment where colleagues can focus on delivering outstanding patient care.
Overview of key responsibilities:
Act as the first point of contact for day-to-day facilities queries, keeping colleagues informed of progress, planned works and outstanding issues.
Log, allocate and monitor maintenance requests, escalating urgent issues to the Head of Facilities and ensuring actions are completed promptly.
Coordinate planned maintenance and contractor visits, arranging access and working with clinical teams to minimise disruption to services.
Maintain accurate asset registers, compliance trackers and maintenance records, following up outstanding certificates, reports and remedial actions.
Support the coordination of housekeeping, portering, laundry and waste services, working with suppliers and team leads to maintain high standards.
Carry out routine facilities inspections, identifying defects, hazards and presentation issues and ensuring corrective actions are followed through.
Assist with purchasing and stock management by obtaining quotes, raising purchase requests, monitoring supplies and coordinating deliveries and replenishment.
Support health and safety processes, incident reporting and emergency arrangements, maintaining accurate records and escalating concerns in line with local procedures.
About you
You’re an organised, approachable and dependable individual who takes pride in keeping things running smoothly. You’re comfortable managing competing priorities, maintaining accurate records and communicating confidently with colleagues, contractors and suppliers. With a practical, solutions-focused approach, you take ownership of tasks and ensure they’re followed through to completion, knowing when to use your initiative and when to escalate an issue.
You’ll understand the importance of reliable facilities services within a healthcare environment and the role they play in supporting patient safety, dignity and experience. You’ll be confident using Microsoft 365, including Outlook, Excel and SharePoint, and willing to learn new facilities systems and processes. Experience in facilities coordination, service administration or a similar operational role would be beneficial, as would basic handyman skills, although these aren’t essential. Above all, you’ll bring a flexible, proactive attitude, strong attention to detail and a commitment to maintaining high standards across the centre.
