Job Description

Marketing Coordinator & Executive Assistant

Location: Westgate (Glendale, AZ), fully in person.

Employment Type: Full-Time, W-2

Compensation: $62,000 to $70,000 base, plus a performance bonus tied to a weekly scorecard. On-target total compensation of $90,000+/year for a strong performer.

Schedule: Roughly 10am to 6pm, not a standard 9-to-5, with occasional evenings and weekends for scheduled client events, and filming days.

About the Opportunity

Picture this: a founder-led real estate team with a real brand, a loyal client base, and a full suite of custom AI tools already built, just waiting for someone sharp enough to run them. That's the seat we're filling. CalzaCo is a growing real estate team based at Westgate in Glendale, serving Phoenix's West Valley, including Surprise, Waddell, Litchfield Park, Goodyear, Buckeye, Glendale, and Peoria. Founder Julie Calza has done the hard part: she built the systems. She needs someone to operate them day to day so she can spend more of her time growing the business. Our core values are Loyalty, Honor, and Client First, and we mean all three.

This is a role that splits about 70 to 80% marketing and content, running the social presence and the AI content engine that already exists, and 20 to 30% executive support, keeping Julie's calendar, inbox, and day-to-day running smoothly. It is also a role with both office work and work out in the field. If you want a role where creative ownership and real behind-the-scenes trust both matter, this is built for exactly that.

We'll also be upfront about the flip side, because we'd rather you know it now than discover it later. This is a high-accountability seat: results are tracked on a weekly scorecard, a meaningful part of compensation is tied to it, and feedback is direct, we name the issue plainly and show you the corrected version, no softening. If you're looking for something loosely supervised, this isn't it. If you want real ownership, clear expectations, and a place to build an actual career, keep reading.

One more thing to read carefully: this role does not run on doing the same things every day.  Your workdays will look different, and you will not always know what the day will hold in advance. Some days you'll know your plan. Others, you'll be asked mid-day to drop what you're doing and go handle something, and an open calendar tomorrow doesn't mean tomorrow is a desk day. If that sounds stressful rather than energizing, this isn't the right fit.

What You'll Do

Marketing & Content (the bigger piece of the role)

  • Own the team's social media presence (Instagram, TikTok, LinkedIn, Google Business Profile, Nextdoor, blog, and YouTube scheduling) against a consistent weekly posting cadence
  • Capture candid photo and video content of Julie and the team, on your own initiative, not on direction, because you see everyday moments as content before anyone points them out
  • Operate an existing suite of custom AI content tools, reviewing everything critically before it goes out so it never sounds robotic
  • Build listing flyers, run AI-assisted listing descriptions and virtual staging, and keep the client community page active
  • Bring a weekly list of content ideas to Julie, and know when something is worth acting on in real time instead of waiting

Executive Support (the other piece)

  • Own Julie's calendar: scheduling, protecting her focus time, resolving conflicts, and declining on her behalf when it makes sense
  • Manage her inbox so nothing important gets buried, surfacing vendor issues, billing, and opportunities that actually need her eyes
  • Run her daily task board and clear what you can, so what's left genuinely requires her judgment
  • Make sure meeting notes get taken, distributed, and turned into tracked action items, including hers
  • Handle travel, conference registration, and merch orders, plus day-to-day tech support and vendor coordination that keeps things running
  • Coordinate smaller client gatherings and support larger team events, plus team and vendor gifting
  • Run work-related errands: lunch and coffee runs, store returns, picking up packages, grabbing supplies. It is always tied to the business, but the list is part of the job
  • Research and vet opportunities like podcasts, sponsorships, and award nominations, and bring recommendations forward

How We Measure Success

We believe in being transparent about how this role is evaluated before you apply, not after you're hired:

  • A weekly scorecard tracking output and cadence, audience growth, and leads generated from the channels you run, reviewed with Julie every week
  • Regular 1:1s with Julie, plus a standing weekly content idea list as a deliverable
  • Approval gates that are heavier early on: in the first 90 days, essentially everything runs through Julie, including a weekly batch approval of content
  • More autonomy is earned as performance is demonstrated on the scorecard, not assumed from day one

What We're Looking For

  • Real social media fluency: either your own accounts with a consistent posting history and genuine engagement, or social media work you've done for an employer with something to show for it
  • A content reflex: you see everyday moments as potential content and capture them without being asked
  • Real, hands-on experience with AI tools, and an honest sense of where they fall short
  • Comfort with Canva and Meta Business Suite from day one
  • Phone-camera competence: your photos and videos look intentional, even if they're not professionally shot
  • Reliable, presentable personal transportation and a home no more than 45 minutes from our Glendale office during peak traffic hours, with a genuine sense of why the West Valley works for you long term
  • High energy, and able to focus it. Our team is outgoing, we laugh, but we are often working with people through high level transactions and providing an elevated client experience. You are the one who helps bring the energy up in a room, not down. If you are more the quiet, steady, heads down type, you would probably be happier somewhere else
  • Comfort with a schedule that can change within the day, without notice

Nice to have: experience with any CRM or task management tool (we use Keap and Asana), and basic video editing for reels, carousels, and stories.

Not required: a real estate license or real estate industry background. We'd rather have strong social and marketing instincts with zero real estate experience than the reverse.

Compensation & Benefits

  • $62,000 to $70,000 base salary
  • Performance bonus tied to a weekly scorecard, with on-target total compensation of $90,000+/year
  • Paid time off, earned progressively and spelled out in your employment agreement
  • A travel supplement for local driving beyond a short radius of the office

Why Join CalzaCo

You'll be running systems that are already built, not creating them from scratch, with direct, daily access to the founder and a genuinely varied role: one day you're shooting content, the next you're the reason her whole week runs on time. This role has real room to grow over time as you prove yourself; that growth is earned through performance, not promised at hire. If you want a place to build an actual career, not just collect a paycheck between jobs, we want to hear from you.
