Job Description

Job Summary:

We are seeking a highly skilled Workday Time & Payroll Consultant to support and optimize Workday Time Tracking, Absence, and Payroll solutions for retail operations across the United States and Canada. The ideal candidate will possess deep expertise in Workday payroll processing, timekeeping, workforce scheduling, retail labor compliance, and payroll integrations.
This role partners closely with HR, Payroll, Store Operations, Finance, and IT teams to ensure accurate payroll processing, efficient workforce management, and compliance with federal, state, provincial, and labor regulations. Experience supporting large hourly workforces, multiple store locations, shift-based employees, and high-volume payroll environments is essential.

Key Responsibilities
Workday Time Tracking & Labor Management

• Configure and support Workday Time Tracking for retail store, distribution center, and corporate employees.
• Maintain time entry codes, time calculations, overtime rules, shift differentials, meal and rest break compliance, and premium pay calculations.
• Configure and manage scheduling and workforce management requirements for hourly associates.
• Support complex retail pay rules including:
o Shift premiums
o Holiday pay
o Split shifts
o Overtime and double-time calculations
• Configure and maintain absence plans, PTO accruals, sick leave, and leave programs for U.S. and Canadian employees.
• Resolve time capture discrepancies impacting payroll and labor reporting.
Payroll Processing (US & Canada)
• Configure and support Workday Payroll for large multi-state and multi-province retail populations.
• Process payroll activities including:
o Regular payroll
o Off-cycle payroll
o Bonus payments
o Retroactive adjustments
o Final pay processing
• Manage payroll components such as:
o Earnings
o Deductions
o Garnishments
o Taxes
o Benefits deductions
o Wage attachments
• Ensure compliance with:
o Federal and state payroll regulations (U.S.)
o Provincial payroll regulations (Canada)
o Retail labor laws and wage requirements
• Support year-end payroll activities
• ADP SmartConnect experience
Integrations & Data Management
• Support integrations between Workday and:
o Workforce Management systems
o POS systems
o Scheduling applications
o Benefits providers
o Tax vendors
o Banking institutions
• Ensure payroll and time data integrity across systems.
Reporting & Analytics
• Create and maintain Workday reports and dashboards supporting:
o Labor costs
o Payroll reconciliation
o Overtime analysis
o Compliance reporting
• Develop calculated fields and composite reports to support business requirements.
• Provide payroll and workforce analytics to retail leadership teams.
Testing & Workday Releases
• Lead testing activities for Workday enhancements, updates, and payroll tax changes.
• Develop and execute:
o Unit testing
o Integration testing
o Regression testing
o UAT testing
• Coordinate release validation with Payroll, HR, and Store Operations teams.
Production Support
• Provide Tier 2 and Tier 3 support for payroll and time-tracking issues.
• Investigate and resolve payroll calculation issues, integration failures, and employee payroll inquiries.
• Maintain system documentation, configuration workbooks, and support procedures.
• Participate in payroll cycles and critical payroll support activities.

Required Qualifications
• Bachelor''s degree in Human Resources, Information Systems, Business, Finance, or related field.
• 5+ years of Workday experience supporting:
o Workday Time Tracking
o Workday Payroll (US and/or Canada)
o Absence Management
• 3+ years of retail industry experience supporting large hourly employee populations.
• Strong knowledge of:
o Retail workforce management practices
o Multi-state payroll processing
o Canadian payroll regulations
o Payroll tax compliance
o Labor law requirements
• Experience supporting payroll for 5,000+ employee populations preferred.
• Strong analytical, troubleshooting, and problem-solving skills.
