Request Summary:

The team is dedicated to supporting marketing operations by driving operational excellence, business management, budget and resource planning, executive communications, organizational effectiveness, and strategic program execution. The team enhances leadership effectiveness through project coordination, business operations support, event execution, communications planning, and operational management across multiple initiatives.

Typical Day in the Role

  • Support business operations initiatives, including budget tracking, purchase order management, and resource planning.
  • Create executive presentations, leadership communications, and all-hands content to support organizational messaging and engagement.
  • Coordinate the Aspire rotational program, support team events and logistics, and partner with stakeholders to drive operational priorities.
  • Rebuild and maintain a SharePoint site, ensuring team resources, documentation, and collateral are well-organized and accessible.
  • Manage multiple concurrent projects, track deliverables, improve team processes, and provide overall operational support to help the organization run efficiently.

Candidate Requirements

Best vs. Average:

  • 5-7 years of experience in business operations, program management, or similar roles.
  • Strong budget management, purchase order, and financial tracking experience.
  • Experience creating executive presentations, leadership communications, and all-hands content.
  • SharePoint site creation, maintenance, and content management experience.
  • Experience supporting executives, leadership teams, or similar organizations.
  • Experience coordinating team events, employee engagement programs, and cross-functional initiatives.
  • Strong stakeholder management and communication skills.
  • Proven ability to balance multiple projects while maintaining attention to detail.
  • Demonstrated curiosity, learning agility, and willingness to learn new tools and processes.
  • Experience using AI tools to improve productivity and efficiency.
  • Able to work independently, navigate ambiguity, and quickly contribute with minimal training.

Summary

The main function is to maintain vendor relationships, acting as a business analyst for non-IT projects or filling organizational roles above an administrative level but below a management level. Other responsibilities include maintaining all project management processes, including project goals, deadlines, metrics, and budget. The business operations specialist usually reports to a project manager or director.
