Job Description

Virtual Assistant – Board Support

Mental Health Association of Maryland (MHAMD) & BrainFutures

Part-Time, Remote | Up to 5 Hours per Week (Variable)

Position Summary

MHAMD and BrainFutures seek a Virtual Assistant to provide administrative and coordination support to their Boards of Directors and committees. This role requires exceptional follow-through, sound judgment, discretion, and professionalism when working with senior executives and board members on sensitive and strategic matters.

Key Responsibilities

  • Coordinate schedules for two Boards of Directors (approximately 10–15 members each) and five committees. Proactively resolve scheduling conflicts through persistent follow-up, including direct phone and text outreach when email is insufficient.
  • Prepare and distribute meeting agendas, materials, and communications in coordination with staff and board leadership.
  • Set up and host Zoom meetings, provide technical support as needed, and prepare accurate, concise meeting minutes that reflect sensitive, nuanced, and strategic discussions.
  • Facilitate timely information exchange among board and committee members and staff, track outstanding requests, and follow through to completion.
  • Maintain organized board records and handle confidential information with appropriate discretion.

Time Commitment: Flexible, averaging fewer than five hours per week, with workload varying according to meeting schedules and board activity.

  • Prior experience supporting Boards of Directors, executive leadership teams, or senior-level committees strongly preferred.
  • Demonstrated initiative, persistence, and accountability for results rather than merely completing assigned steps.
  • Proficiency with Microsoft 365, Outlook, Zoom, and AI tools.
  • Strong interpersonal judgment and the ability to maintain strict confidentiality.

Hourly non-exempt, no benefits, flexible, averaging fewer than five hours per week

Compensation:

$30-$40 per hour depending on experience
