Job Description

Are you an organised and proactive Personal Assistant looking for your next challenge? We are working with an established organisation within the life sciences sector that is seeking an experienced professional to provide high-level support to the UK leadership team.


This is a varied role where you'll become a key part of the business, ensuring the smooth day-to-day running of executive operations while acting as the central point of coordination between senior leaders, colleagues and external stakeholders.


The Role

As Personal Assistant, you will provide comprehensive administrative and operational support to the UK Director of Operations and wider management team. You'll manage priorities, coordinate communications and help ensure the business operates efficiently across multiple sites.


Key Responsibilities

  • Manage complex diaries, schedules and appointments for senior leadership
  • Coordinate meetings, prepare agendas and take accurate meeting minutes
  • Organise UK and international business travel, accommodation and events
  • Manage incoming emails, calls and correspondence on behalf of senior management
  • Process expense claims, invoices and administrative documentation
  • Maintain accurate filing systems and confidential business records
  • Coordinate office administration and manage office supplies
  • Act as the key point of contact between leadership, employees and external partners
  • Draft and distribute internal communications
  • Support leadership communications through company intranet updates
  • Help coordinate communication across multiple UK sites
  • Assist with document translation where required


About You

You'll ideally have:

  • Previous experience as an Executive Assistant, Personal Assistant or Senior Administrator
  • Excellent organisational and time management skills
  • The ability to manage multiple priorities and work independently
  • Strong written and verbal communication skills
  • A high level of discretion, professionalism and confidentiality
  • Excellent attention to detail and a proactive approach to problem solving
  • Strong Microsoft Office skills (Outlook, Word, Excel and PowerPoint)
  • Experience supporting senior leadership teams
