Job Description

Job Title: Executive Assistant

Location : London – Holborn Office (3 days per week minimum)

Line Manager : CHRO


Overview:

The Executive Assistant will provide high-level support to the Chief HR Officer and Chief Operations Officer, who also acts as Chief Transformation Officer. Reporting to the CHRO, this role is responsible for ensuring the effective management of executive schedules, communications, priorities and day-to-day administrative activity. The successful candidate will be highly organised, discreet and confident in managing senior stakeholders. They will play a key role in enabling both executives to focus on strategic priorities by coordinating meetings, travel, correspondence, information flow and key administrative processes. Working closely with the wider Executive Assistant and Administration team, this role will help ensure the leadership team operates efficiently, professionally and collaboratively.


Key Responsibilities:

  • Provide proactive day-to-day administrative and executive support to the CHRO and COO, including diary management, meeting coordination, prioritisation and follow-up of key actions.
  • Act as a professional and trusted point of contact for senior internal and external stakeholders, including board members, investors and leadership colleagues.
  • Manage complex and frequently changing schedules, coordinating meetings, conferences, events and international travel arrangements with accuracy and efficiency.
  • Handle confidential information, documents and data with the highest level of discretion, integrity and professionalism.
  • Prepare, draft and format high-quality correspondence, and meeting materials, ensuring documentation is accurate, organised and accessible.
  • Coordinate high-profile meetings and events, ensuring smooth delivery, strong attention to detail and a professional experience for attendees.
  • Support the planning, coordination and tracking of key projects, collaborating with cross-functional teams to help ensure timely and effective delivery.
  • Work collaboratively with the wider Administration team, including the EA to the CEO and PA/Office Administrator, to ensure aligned and seamless support for the wider leadership team.


Qualifications & Experience:

  • Previous experience providing executive support at senior leadership level, including managing one or more C-suite members simultaneously within an international, multi-country business environment.
  • Confident in building and managing relationships with senior stakeholders, exercising sound judgement and professionalism.
  • Excellent organisational, written and verbal communication skills, with strong attention to detail.
  • Proficient in Microsoft Office and calendar/email platforms, including Outlook, Teams, Word, Excel and PowerPoint.
  • Proven ability to handle highly confidential and sensitive information with discretion and care.
  • Strong organisational and time-management skills, with the ability to manage multiple priorities and work effectively under pressure.
