Role Purpose:
The Quality Control Administrator plays a key role in supporting the effective day-to-day operation of the Quality team, ensuring that inspection records, reports, audit findings and compliance documentation are accurately maintained, organised and readily accessible. The role involves managing quality-related data, monitoring inspection results, preparing reports and metrics, and supporting the analysis of quality trends to help identify areas for improvement. Working closely with the wider Quality team, the role provides essential administrative and coordination support for merchandise inspections, audits and compliance activities, including scheduling, documentation and reporting to ensure processes run smoothly and deadlines are met. The role will also support the review of product quality and compliance documentation, helping ensure products meet the required industry standards and safety requirements. Where required, the postholder will undertake post-shipment inspections and targeted quality audits, including those arising from returns analysis and customer complaints, to assess materials, components and finished products against established quality standards.
Key Responsibilities:
- Maintain accurate and organised quality records, including pre-shipment and post-shipment inspection reports, audit findings and compliance documentation.
- Input and update quality inspection data, test results and audit information across internal systems.
- Prepare regular quality reports, spreadsheets and updates, highlighting trends, recurring issues and areas for improvement.
- Provide administrative support to the Quality team, coordinating inspection schedules, documentation and reporting requirements.
- Support the organisation of merchandise inspections and supplier audits, ensuring all relevant information is available.
- Monitor and track quality issues, inspection results and corrective actions, following up on outstanding matters.
- Assist with reviewing product specifications and compliance documentation to support quality and safety standards.
- Support the analysis of customer returns and complaints to identify recurring product quality issues.
- Identify opportunities to improve administrative processes and the efficiency of quality control activities.
- Liaise with internal teams, suppliers and external inspection partners to support quality-related activities.
- Where required, carry out post-shipment inspections and targeted product audits to verify product quality and identify potential defects.
- Provide general administrative support to the wider Quality team, helping maintain consistent standards and effective ways of working.
Skills and Experience:
- Proven experience in an administrative role, preferably in a garment quality control or manufacturing environment.
- Strong organisational skills and attention to detail.
- Proficiency in data entry, database management, and basic data analysis.
- Excellent communication skills, both written and verbal.
- Ability to multitask and manage priorities in a fast-paced environment.
- Familiarity with quality control concepts and terminology
- Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Problem-solving mindset with a proactive and collaborative approach.
- Knowledge of industry regulations and standards related to product quality and safety is a plus.
