Job Description

HR Specialist | Essen, Germany | Hybrid

This employer is a globally recognised leader in the discount retail sector, known for its innovation and commitment to employee development. They are seeking a dedicated HR Specialist to join their shared services team, contributing to their continued success and operational excellence.

The Role

  • Manage the accurate and timely execution of monthly payroll for various entities, ensuring compliance with all legal and contractual regulations.
  • Oversee the administration of working hours and vacation balances within the time tracking system.
  • Prepare employment contracts, references, and manage the migration of employee files to a digital archive.
  • Advise employees and management on payroll-related matters, and employment, income tax, and social security legislation.
  • Serve as the primary point of contact for health insurance providers, social security institutions, and authorities, handling certifications and reporting.
  • Coordinate and reconcile payroll data with the accounting department, including payroll bookings and personnel provisions.
  • Review and implement changes in payroll processes due to legislative updates or other requirements.
  • Prepare personnel cost planning and proactively analyze personnel key figures both regularly and on an ad hoc basis.
  • Analyze existing HR processes and identify opportunities for optimization.

What You'll Need

  • Completed commercial apprenticeship and several years of experience in payroll accounting or personnel administration.
  • Solid understanding of current employment, income tax, and social security law.
  • Strong proficiency in MS Office, especially Excel.
  • Good knowledge of HR administration and payroll systems, preferably SAP HCM or P&I Loga.
  • High level of commitment, service orientation, initiative, and independent working style.
  • Excellent teamwork, reliability, and resilience.
  • Strong stakeholder management and problem-solving skills.
  • Interest in digital HR transformation.
