What does this team do?

The Fool Community Foundation is a small, mission-driven team working to expand access to financial freedom. As a lean organization, strong operations are essential to everything we do- from supporting our team and contractors to maintaining the systems and processes that keep our work organized and moving forward.

Our Operations team creates the structure behind the scenes that allows the broader Foundation team to focus on its mission. That means building reliable processes, maintaining clean and useful systems, coordinating important team activities, and making sure the details don’t fall through the cracks.

What would you do in this role?

As our Operations Associate, you’ll work closely with the Operations Manager to help execute the day-to-day processes that keep the Foundation running smoothly.

This is an execution-focused role. You won’t be responsible for setting our overall operations strategy; instead, you’ll help bring that strategy to life by making sure the processes, systems, and recurring workstreams designed by the Operations Manager happen accurately and on time.

You’ll work across both team operations and systems administration, so your days may look different from one another. One day you might be coordinating contractor paperwork and organizing documents, while another might involve cleaning up data in HubSpot, helping troubleshoot a user issue, or supporting logistics for a team event.

If you’re highly organized, naturally attentive to details, comfortable learning new systems, and get satisfaction from making things run well, this could be a great fit.

What will you be responsible for?

Team Operations

  • Coordinate contractor paperwork and help ensure required documentation is completed and organized.
  • Support team culture initiatives, including team meetups, appreciation events, and happiness-score surveys.
  • Help maintain organized virtual files, documentation, and shared resources so information is easy to find and up to date.
  • Assist with FoolFest and other events, including scheduling, logistics, communications, and coordination.
  • Help manage recurring operational tasks and calendars, making sure important deadlines and follow-ups don’t get missed.
  • Support the Operations Manager with administrative and coordination needs across the Foundation.
  • Document processes and keep operational materials current as workflows evolve.
  • Look for small ways to improve efficiency, organization, and consistency in the team’s day-to-day work.

Systems & HubSpot Support

  • Support day-to-day HubSpot administration, including data entry, record maintenance, data cleanliness, and routine integrity checks.
  • Help maintain accurate and reliable information within our CRM.
  • Assist with building and maintaining reports and dashboards that help the team understand its work and progress.
  • Troubleshoot basic user issues and help connect team members with the right support when something requires deeper technical expertise.
  • Help coordinate basic system training, documentation, and resources for team members.
  • Support adoption of consistent processes and best practices across the tools the Foundation uses.
  • Become a go-to resource for routine questions about our operational systems and workflows.

Who are we looking for?

You don’t need to have done this exact job before, but you should enjoy being the person who creates order, follows through on the details, and helps a team operate more effectively.

You’ll likely be successful in this role if you:

  • Have 2+ years of experience in an operations, administrative, project coordination, or similar role.
  • Have hands-on experience with HubSpot. You know the ins and outs of the platform and can work independently within the tool.
  • Are comfortable working across multiple tools and systems, such as CRM platforms, project management tools, scheduling tools, and shared document systems.
  • Have exceptional attention to detail and tend to notice the small things before they become bigger problems.
  • Are highly organized and comfortable managing several recurring workstreams and deadlines at the same time.
  • Communicate clearly and concisely in writing, especially when creating documentation, meeting notes, process updates, or status communications.
  • Are proactive and process-oriented. You don’t just complete a task- you think about what needs to happen next and how to make the process run smoothly.
  • Are dependable and consistent, particularly when it comes to recurring operational responsibilities.
  • Are comfortable asking questions, learning new systems, and figuring things out when you encounter something unfamiliar.
  • Enjoy supporting others and making it easier for teammates to do their best work.
  • Are excited by the opportunity to contribute to a mission-driven organization and a small, collaborative team.

Bonus points if you:

  • Have experience working in a nonprofit, foundation, or other mission-driven organization.
  • Hold a HubSpot certification.
  • Have experience coordinating contractors, team events, or internal operations.
  • Have created reports, dashboards, process documentation, or system training materials in a previous role.

This is a part-time contractor role with an expected commitment of up to 30 hours per month.

Hourly Pay Range
$45—$45 USD
