Job Description

Position Summary

The Receptionist serves as the face of Los Altos Foods and is the first point of contact for visitors, employees, customers, and vendors. This role is responsible for creating a professional, welcoming, and service-oriented experience while managing the front desk and supporting daily office operations. The Receptionist provides administrative assistance to various corporate departments, coordinates office services and vendors, manages conference room schedules, and helps ensure the efficient operation of the corporate office. The ideal candidate is highly organized, dependable, customer-focused, and capable of handling multiple priorities in a fast-paced environment while representing the values and culture of Los Altos Foods with professionalism and hospitality.

Salary Range DOE: $45,747-$57,181

Essential Duties and Responsibilities

Front Desk & Customer Service

  • Welcome and assist visitors, clients, and vendors in a professional and courteous manner.
  • Answer, screen, and direct incoming telephone calls.
  • Maintain visitor sign-in procedures and issue visitor badges.
  • Ensure reception and common areas remain clean, organized, and professional.

Administrative Support

  • Assist Accounts Payable by sorting, preparing, and mailing checks.
  • Support corporate departments with administrative and clerical duties as needed.
  • Update and distribute the Corporate Office Phone Directory.
  • Maintain and update the annual Office Holiday Calendar.

Office Coordination

  • Serve as the primary contact for office vendors, including vending machine, coffee service, water cooler, safety cabinet, and waste management providers.
  • Coordinate staff meetings, employee events, and company luncheons.
  • Manage conference room scheduling and calendar administration.
  • Order and maintain office and first aid supplies.

Facilities Support

  • Coordinate building maintenance requests and repairs, including office equipment, kitchen appliances, mail room equipment, ice machines, carpet cleaning, and other facility-related issues.
  • Follow up with vendors and service providers to ensure timely completion of work.

Additional Responsibilities

  • Assist with special projects as assigned.
  • Perform other duties as required to support business operations.

Qualifications

Minimum Requirements

  • High School Diploma or GED required.
  • Minimum of two (2) years of experience in a professional office environment.
  • Experience working in a receptionist, administrative assistant, or customer service role preferred.

Preferred Qualifications

  • Bilingual in English and Spanish.
  • Experience supporting multiple departments within a corporate office environment.
