We are seeking an organised and proactive Learning & Development Coordinator to provide administrative and coordination support across a busy Early Careers function. The role will play an important part in supporting the recruitment, onboarding and ongoing development of apprentices, ensuring a smooth and positive experience from application through to programme completion.

Working closely with Apprenticeship Programme Managers, HR Business Partners, recruitment teams, education providers and wider business stakeholders, you will coordinate a range of activities, maintain accurate records and support key Early Careers initiatives and events.

Key Responsibilities

Recruitment & Onboarding

  • Coordinate end-to-end apprentice recruitment and onboarding activities, maintaining accurate trackers and ensuring all processes are completed within agreed timescales.
  • Support job requisition processes and maintain recruitment trackers for Apprenticeship Programme Managers, HR Business Partners and recruitment teams.
  • Coordinate onboarding requirements, including security clearance documentation and IT access requests for apprentices across different programme levels.
  • Liaise with colleges and universities to manage applications, verify qualifications and arrange onboarding meetings.
  • Coordinate the process for apprentices moving into permanent positions, maintaining documentation and liaising with relevant HR and management teams.

Early Careers Administration & Events

  • Organise key Early Careers events, including annual graduation ceremonies, Outward Bound activities and VIP visits.
  • Provide administrative support to apprentices and Apprenticeship Programme Managers, including covering apprentice queries during periods of annual leave.
  • Coordinate apprentice probation reviews, education provider reviews and salary review meetings, liaising with Reward, HR Business Partners and recruitment teams.

Planning & Continuous Improvement

  • Support the planning and coordination of Early Careers operational activities, ensuring plans are communicated effectively to relevant stakeholders.
  • Contribute to the ongoing development and improvement of Early Careers processes, documentation and administrative procedures.

Skills & Experience

  • Previous experience in HR administration, recruitment coordination, apprenticeship administration, Early Careers or a similar business support role.
  • Strong organisational skills, with the ability to manage multiple activities, trackers and deadlines simultaneously.
  • Excellent attention to detail and confidence maintaining accurate records and documentation.
  • Experience coordinating onboarding, inductions, meetings or events.
  • Confident communicating with a range of stakeholders, including employees, managers, recruitment teams and external education providers.
  • Good IT skills, particularly Microsoft Office or Google Workspace, and confidence working with databases, trackers and reporting tools.
  • Strong written communication skills, including the ability to prepare meeting notes, reports and presentations.
  • A proactive, flexible approach with the ability to work independently and as part of a wider team.

The Ideal Candidate

You will be a highly organised and approachable individual who enjoys working in a varied, people-focused coordination role. You will be comfortable managing competing priorities, building relationships across the business and ensuring that apprentices and stakeholders receive a professional and well-organised service.
