Job Description

HR Administrator
Ipswich
Temporary position until 2027
3/4days a week 28-35hours- flexible
30,000pa FTE

We are seeking a proactive and organised HR Administrator to support the day-to-day operations of the HR function. This is a varied role that will provide administrative support across the employee lifecycle, including recruitment, payroll administration, HR systems management, and employee records.
The successful candidate will play a key role in ensuring HR processes run efficiently while delivering a high level of service to employees and managers across the business.
Key Responsibilities

HR Administration
  • Maintain accurate employee records and HR databases.
  • Prepare employment contracts, offer letters, and onboarding documentation.
  • Support new starter, probation, and leaver processes.
  • Ensure all employee files remain up to date and compliant with GDPR requirements.
  • Respond to general HR queries from employees and managers.
  • Assist with preparing reports and management information as required.
Recruitment & Talent Support
  • Create and post job advertisements across various job boards and recruitment platforms.
  • Coordinate recruitment campaigns and candidate applications.
  • Schedule and organise interviews between candidates and hiring managers.
  • Maintain communication with applicants throughout the recruitment process.
  • Support onboarding activities for new employees, including induction arrangements and right-to-work checks.
Payroll Support
  • Assist with the preparation and submission of monthly payroll information.
  • Maintain accurate records of employee absences, holidays, and changes to employment details.
  • Liaise with payroll providers to ensure employee data is accurate and submitted on time.
  • Support the administration of pensions, benefits, and salary-related changes.
  • Handle payroll queries and escalate issues where necessary.
Data Entry & HR Systems
  • Accurately enter and maintain employee data within HR and payroll systems.
  • Produce HR reports and analysis as required.
  • Monitor data quality and ensure records are maintained to a high standard.
  • Support system updates, audits, and data cleansing activities.
Compliance & Employee Records
  • Ensure HR documentation meets legal and company requirements.
  • Support HR audits and compliance checks.
  • Maintain confidential employee records in accordance with company policies and data protection legislation.

Skills & Experience

Essential
  • Previous administrative experience, ideally within HR, payroll, or an office environment.
  • Strong attention to detail and high levels of accuracy.
  • Experience of data entry and maintaining records.
  • Excellent organisational and time management skills.
  • Strong IT skills, including Microsoft Office, particularly Excel and Outlook.
  • Ability to manage confidential information with discretion.
  • Excellent communication and interpersonal skills.
Desirable
  • Previous experience supporting payroll processes.
  • Experience using HRIS or payroll systems.
  • Working knowledge of employment legislation and HR best practice.
