Job description
This position is listed on behalf of a partner company, which manages all applications and next steps. Our partner is looking for a Coordinator, Global Programs based in Canada.
In this role, you will provide essential coordination and operational support to a global programs team working to advance gender equality and strengthen feminist movements worldwide. You will help ensure that grantmaking activities, partner relationships, and program operations run smoothly and efficiently. Working across multiple departments, you will facilitate collaboration, manage administrative processes, and coordinate international events and gatherings. You will also contribute to improving internal systems, strengthening team workflows, and ensuring effective communication with global partners. This is an opportunity to gain hands-on experience in international development, feminist philanthropy, and global program management. You will join a collaborative, values-driven, and remote-first environment that encourages continuous learning, adaptability, and professional growth.
Accountabilities:
- Grantmaking and partner support: Assist with preparing grant dockets, presentations, and approval documentation while maintaining accurate and accessible records. Track engagement with grantee partners through CRM systems, manage incoming correspondence, and ensure requests are directed to the appropriate teams. Draft emails, letters, and communications for internal and external stakeholders.
- Events and international coordination: Organize the logistics of team retreats, grantee gatherings, site visits, and conferences, both virtually and in person. Coordinate schedules, budgets, travel arrangements, registrations, venues, catering, and participant allowances. Prepare meeting agendas and presentations, facilitate virtual sessions, manage breakout rooms and polls, and troubleshoot technical issues. Identify suitable local vendors and partners, particularly for activities outside Canada, and coordinate translation and review of materials when needed.
- Team operations and administration: Support the team's daily operations through scheduling, meeting coordination, timeline management, briefing notes, and presentations. Act as the main point of contact with Finance for procurement, budgets, contracts, invoices, expense claims, payments, and purchase orders. Coordinate consultant and contractor agreements and manage orders with approved suppliers.
- Process improvement and collaboration: Identify opportunities to simplify administrative workflows, improve internal procedures, and strengthen team systems. Represent the Global Programs team in internal working groups and facilitate collaboration with Communications, Finance, Philanthropy, and Strategy.
- Previous experience in coordination, administration, project support, or a similar operational role, with strong organizational skills and the ability to manage multiple priorities and complex workflows.
- Excellent written communication skills, including the ability to draft professional correspondence and develop clear policies and procedures.
- Professional working proficiency in English. Fluency in French, Spanish, or another language is considered an asset.
- Ability and willingness to learn and use various digital tools, including project management software, data analytics platforms, collaboration suites, enterprise resource planning systems, CRM platforms, and generative AI tools.
- Experience with project management platforms, CRM systems, Canva, or Power BI is an advantage.
- Strong adaptability, responsiveness, and problem-solving abilities, with the capacity to adjust processes as organizational priorities evolve.
- High emotional intelligence and interpersonal skills, including the ability to build trust, foster collaboration, navigate complex relationships, and handle sensitive information confidentially.
- Demonstrated integrity, sound judgment, discretion, and a commitment to ethical professional practices.
- Interest in or understanding of feminist issues, advocacy, movement building, and women's rights organizations is an asset.
- Commitment to anti-racism, anti-oppression, intersectionality, feminist leadership, accountability, and inclusive collaboration.
- Legally eligible to work in Canada and available for approximately two international or domestic travel periods per year, totaling up to two weeks.
- Willingness to occasionally work evenings or weekends to accommodate international time zones and to perform primarily computer-based work in a remote environment.
- Salary: Starting annual salary of CAD $69,248, with compensation determined through a transparent, role-based evaluation approach.
- Employment: Full-time, permanent (indefinite) position.
- Remote flexibility: Fully remote working arrangement within Canada, supported by a flexible and collaborative virtual work environment.
- Paid time off: Four weeks of paid vacation, paid sick leave, and an additional paid day off for your birthday.
- Parental support: Enhanced parental leave benefits, including parental leave top-up.
- Healthcare and protection: Comprehensive medical benefits and life insurance, with no waiting period.
- Retirement savings: Group Registered Retirement Savings Plan (RRSP).
- Professional environment: Opportunities to develop practical expertise in global grantmaking, international program coordination, and feminist philanthropy.
- Inclusive culture: A values-driven workplace that promotes diversity, accessibility, emotional intelligence, continuous learning, shared leadership, and professional development.
- Accessible recruitment: Accommodations and adjustments are available throughout the recruitment process and beyond.
