As the Training Systems & Compliance Coordinator for Merit Restorations, you will be working directly for the Director of Training & Compliance. This position serves as the operational control tower for Merit's Training & Compliance function, maintaining the systems, records, development tracking, certifications, program requirements, and reporting that give Merit clear visibility into employee readiness and compliance risk. This is a full-time position based at Corporate, with hybrid work as appropriate.

The Coordinator keeps the department proactive rather than reactive by maintaining accurate information, surfacing upcoming requirements, and identifying exceptions before they become business problems — always working to answer one question: do we know what is required, who is qualified, what is coming due, who is developing, and where performance is beginning to drift.

This position surfaces the gap; Training & Compliance decides the intervention, the Restoration Training Specialist develops the employee, and the Branch Manager owns execution and accountability, with the Coordinator tracking the result.  Accordingly, this role does not own employee performance management, field coaching or competency decisions, Training & Compliance strategy, or carrier/TPA relationship ownership.  What it does own is the visibility — surfacing the gap early and tracking it through to resolution.

ESSENTIAL DUTIES & RESPONSIBILITIES

Core duties and responsibilities include the following. Other duties may be assigned.

Merit University & Learning Systems

  • Administer Merit University and associated learning systems, including employee accounts, licenses, assignments, learning paths, assessments, and training histories.
  • Manage new-user setup, deactivation, duplicate-account cleanup, approved course versions, and routine LMS support.
  • Produce completion, overdue, assignment, and exception reporting.

30/60/90 Development Control

  • Maintain the master Development Funnel: Orientation → 30 Days → 60 Days → 90 Days → Proficiency.
  • Track upcoming assessments, competency gates, overdue requirements, missing validation, and development status.
  • Provide actionable look-ahead reporting to trainers, BOCs, Branch Managers, and leadership, while Trainers and Operations remain responsible for competency decisions.

 Certification & Credential Management

  • Maintain companywide IICRC and other required credential records by employee, branch, role, and service line.
  • Monitor renewals and expirations, maintain documentation, and produce 60-/90-day look-ahead reporting.
  • Maintain branch certification heat maps and identify credential gaps, coverage concerns, and succession risk.

TPA & Carrier Compliance

  • Maintain a centralized matrix of TPA and carrier requirements by program, branch, and service line.
  • Track requirements such as initial contact, inspection timing, estimate upload/accuracy, Digital Review, documentation, milestones, QA, customer communication, cycle time, and required training.
  • Document confirmed program changes, coordinate updates into Training & Compliance resources, and surface developing compliance gaps or negative trends.

Early Warning, Acquisition Support & Reporting

  • Maintain simple RED / YELLOW / GREEN exception reporting that tells leaders what needs action now, what is approaching, and what is on track.
  • Support acquisitions and new branches with employee rosters, LMS setup, role-path mapping, certification inventory, cohort scheduling, and 30/60/90 tracking.
  • Maintain accurate Training & Compliance data, recurring dashboards, and reporting that supports analysis of training interventions and operational outcomes.
  • Maintain confidentiality and continually improve Training & Compliance workflows, reporting, and system efficiency.
  • Produce and maintain Merit's core recurring outputs: Development Funnel Report, 30/60/90 Development Lookahead, IICRC/Certification Heat Map, 60/90-Day Certification Lookahead, TPA & Carrier Requirements Matrix, Merit University Completion Report, Training & Compliance Exception Report, and Acquisition Training Readiness Dashboard.

Experience & Technical

  • 2–4 years of experience in training operations, LMS administration, compliance coordination, credential management, HR operations, project coordination, or a similar role preferred.
  • Advanced comfort with Excel, Microsoft 365, databases, and reporting; LMS administration experience preferred, and LMS365 experience is a plus.
  • Experience with dashboards, Power BI, workflow automation, or reporting tools is a plus.
  • Restoration-industry experience is helpful but not required.
