Role Overview

As Coordinator - Capital Works Projects (Office) you will play a pivotal role supporting the successful delivery of office capital works projects across Dexus' national portfolio. Working closely with Project Managers, you will coordinate project administration, financial reporting and governance activities, ensuring projects are delivered efficiently, accurately and in line with established processes.

Responsibilities
  • Supporting the delivery of capital works projects through project administration, contract management and system coordination.
  • Maintaining project documentation, records and SharePoint sites, ensuring information is accurate, accessible and up to date.
  • Managing vendor onboarding and supporting project teams with day-to-day operational requirements.
  • Acting as the internal subject matter expert for Yardi Construction Manager, providing guidance and support to key stakeholders.
  • Coordinating purchase orders, contracts, invoices and budget approvals across a diverse project portfolio.
  • Monitoring project budgets, forecasts and cashflows, providing insights and variance analysis to support informed decision-making.
  • Preparing and maintaining portfolio reporting, predictive analytics and financial information that supports project and business outcomes.
  • Partnering with Finance and Project Managers to deliver accurate accruals, forecasting and year-end reporting.
  • Supporting quality assurance, compliance and governance activities across the capital works function.
  • Driving continuous improvement initiatives that enhance operational efficiency, reporting accuracy and project delivery outcomes.
Qualifications
  • Experience in project coordination, contract administration, finance administration or business support, ideally within property, construction, capital works or a related industry.
  • Strong financial and analytical capability, with experience supporting budgets, invoicing, purchase orders, forecasting and reporting activities.
  • Confidence working with systems and technology, including Microsoft Office applications; experience with Yardi, Power BI or similar platforms will be highly regarded.
  • Excellent organisational skills, with the ability to manage competing priorities while maintaining a high level of accuracy and attention to detail.
  • Strong communication and stakeholder management skills, enabling you to build trusted relationships with colleagues, consultants, contractors and vendors.
  • A proactive and solutions-focused mindset, with the ability to identify opportunities for process improvement and operational efficiency.
  • The ability to work independently while contributing positively to a collaborative, high-performing team environment.
  • Adaptability and resilience, with a willingness to embrace change and support a diverse portfolio of projects.
