Real Chemistry is looking for a Project Manager to join our growing Medical Affairs team!   

The Project Manager is responsible for delivering assigned medical affairs projects from initiation through final closeout, including planning, coordination, budget management, routing, approvals, and launch of project deliverables. Projects may include slide decks, print projects, congress materials, advisory board materials, scientific communications, and smaller digital initiatives. This role serves as a main point of contact across internal and external teams, partnering closely with Account, Scientific/Medical, Editorial, Creative, Studio, Print Production, User Experience, Technology, and Quality Assurance partners to keep work on time, on budget, and aligned to client expectations.

Whether it’s bringing in the right resources at the right time, aligning priorities with the account team, or identifying bottlenecks and proposing solutions early, no two days are the same.  

This is a hybrid role, based in any of our US offices—including New York City, Boston, Chicago or Indianapolis—or remotely within the US, depending on team and business needs. This role will primarily work Eastern business hours.

What you’ll do:  

  • Clearly communicate expectations to internal teams and vendors to support the efficient flow of work throughout the agency. 
  • Partner with key agency teams to ensure projects stay on track and agreed-upon milestones are met, including Account, Scientific/Medical, Editorial, Creative, Studio, Print Production, Strategic Planning, Information UX, Technology, and Programming teams. 
  • Plan, schedule, and monitor work to meet timeline, budget, and quality goals in accordance with relevant guidelines. 
  • Collaborate with finance and accounting teams on revenue recognition/invoicing processes 
  • Participate in client and stakeholder meetings as needed, with a clear understanding of project status and timelines to respond to relevant questions and provide project updates when appropriate.
  • Perform risk planning and mitigation to minimize project risk. 
  • Help create service or departmental standard operating procedures 
  • Route deliverables to appropriate core team members for review and signoff via the electronic project routing system.  
  • Ensure signoff prior to key milestones, including core team review, medical/scientific review, client review, vendor handoff, and final release. 
  • Develop detailed work plans, schedules, and status reports to keep internal teams, clients, and external partners aligned throughout the project life cycle. 
  • Serve as a day-to-day project lead, helping define scope and objectives while motivating cross-functional teams to deliver high-quality work on time and on budget. 
  • Coordinate project deliverables from concept through delivery, ensuring the appropriate internal departments, reviews, approvals, and handoffs are engaged at each stage. 
  • Support adherence to agency process and manage the quality assurance phase for all projects.

What you should have:   

  • 3+ years of Project/Program Management or relevant experience. 
  • 2+ years of experience in budget management. 
  • Working familiarity with industry-specific processes, including medical, legal, regulatory, and client review. 
  • Background working on teams focused on medical affairs, scientific communications, medical education, or related non-promotional healthcare communications projects. 
  • Demonstrated track record of leading small- to medium-scale projects from conception through completion. 
  • Experience working cross-functionally with medical/scientific, editorial, account, creative, and project management partners to deliver high-quality products and services. 
  • Proficient in creating timelines and tracking progress against schedules. 
  • Ability to communicate clearly and concisely with technical and non-technical teams across multiple business areas; excellent written, verbal, presentation, and interpersonal skills.  

 Pay Range: $70,000-$85,000

This is the pay range the Company believes it will pay for this position at the time of this posting.  Consistent with applicable law, compensation will be determined based on job-related, non-discriminatory factors including but not limited to work experience, skills, certifications, and geographical location.
