The Opportunity

We are seeking a Director of Operations to build and lead the operational backbone behind Clinically AI's next stage of growth.

This is a strategic, high-ownership leadership role for someone who thrives on turning ambiguity into structure. You will work directly with the executive team to translate our 2026 themes — Be Known, Be Used, Scale — into the processes, systems, and metrics that keep Engineering, Sales, Implementation, Support, and Marketing aligned and accountable. As we scale, you will own the operations function end-to-end, with the opportunity to build and grow a team as scope expands.

What You'll Own

  • Own the operational strategy behind Clinically AI's company-wide themes, translating executive priorities into clear processes, metrics, and workflows across every department.

  • Build cross-departmental operating rhythms so Engineering, Sales, Implementation, Support, and Marketing stay aligned on priorities and progress.

  • Design and own standard operating procedures company-wide — how we launch, escalate, close deals, and report performance.

  • Define leading and lagging indicators for every team and theme, with a focus on 2026 growth and scalability.

  • Own the end-to-end process for incoming development escalations, ensuring they're captured, prioritized, and tracked against business impact and customer risk.

  • Drive the standard release checklist across every feature launch — implementation playbooks, sales enablement, marketing and customer communications, and support documentation — with a clear owner and measurable adoption goals for each.

  • Own the CRM architecture (fields, stages, automations) to ensure clean data, enforced policies, and accurate handoffs from Sales to Finance and Implementation.

  • Build and maintain leadership-facing dashboards for revenue, customer health, and funnel performance.

  • Lead cross-functional coordination on security and compliance programs, including SOC 2, HIPAA, and ISO/IEC 42001 for AI governance.

  • Serve as the operating partner to the executive team on high-priority strategic initiatives — new product lines, major partnerships — ensuring they're scoped, tracked, and delivered on time.

  • Own the company's operational tool stack (CRM, project management, documentation, support desk) and the integrations that connect them.

  • Build and grow the operations function as the company scales, including future hiring and team structure.

What We're Looking For

  • Operational Leadership. You've led operations, revenue operations, or business operations at a fast-growing SaaS company and know how to build structure without slowing the business down.

  • Cross-Functional Systems Ownership. You're equally comfortable configuring a CRM field as you are running a leadership alignment meeting — and you know how to translate between technical and non-technical teams.

  • Process Design at Scale. You design intake workflows, release processes, and team handoffs that hold up as headcount doubles, not just processes that work today.

  • Data & Reporting Rigor. You default to asking “what problem are we solving?” and “how will we know it worked?” — and you build the dashboards and reporting to answer both.

  • Security & Compliance Fluency. You're comfortable coordinating cross-functional work around SOC 2, HIPAA, and AI governance frameworks like ISO/IEC 42001, even if you're not the compliance expert in the room.

  • Executive Partnership. You've operated as a direct partner to founders or executive leadership, turning strategic decisions into clear, trackable execution plans.

  • Startup Execution. You thrive in fast-moving, early-stage environments and are comfortable moving between big-picture strategy and hands-on execution in the same day.

Required Qualifications

  • 5+ years of experience in business operations, revenue operations, or a similar leadership role, ideally in SaaS (healthtech or B2B strongly preferred).

  • Track record of owning cross-functional programs spanning Engineering, Sales, Marketing, and Customer Success.

  • Direct experience partnering with founders or executive leadership on company-wide strategic initiatives.

  • Strong hands-on fluency with CRM tools (HubSpot, Salesforce, or similar), project/issue tracking (Jira, Asana, ClickUp, etc.), documentation tools (Confluence, Notion, Google Workspace), and reporting/analytics.

  • Demonstrated experience designing and improving processes — intake workflows, release processes, order flows, and handoffs between teams.

  • Comfort working around security and compliance efforts (SOC 2, HIPAA, ISO/IEC 42001, or similar frameworks) even without deep compliance expertise.

  • Excellent written and verbal communication skills — SOPs, release notes, and facilitating leadership alignment.

  • High ownership mindset: you identify gaps, propose solutions, and drive them to completion without waiting to be asked.

Preferred Qualifications

  • Background in behavioral health, healthcare, or another regulated industry.

  • Prior experience at a high-growth startup where revenue scaled quickly.

  • Experience building or scaling an operations function or team, not just running one.

  • Prior involvement in implementing or maintaining SOC 2 / HIPAA / ISO-compliant controls or similar frameworks.

Compensation & Benefits

Base salary: $150,000–$175,000

Actual compensation will depend on experience, scope, and overall alignment with the role. Equity participation is an important component of our compensation philosophy.
