Logistics and Operations Team

The Logistics and Operations Team is solely responsible for ensuring the consistent distribution of goods as well as managing inventory at 3rd Party Logistics partners for the Healthspan across all product brands.

As many of the elements of the logistics are directly managed by Healthspan (including packaging components) across UK and international territories this is a fast-paced department which requires attention to detail and a problem-solving attitude.

Profile of the role

The main purpose of the role is focussed on the administrative part of the department. All stock related administrative duties as order replenishment planning, raising, releasing and monitoring distribution related transactions will be the administrator’s responsibility.

The Operations and Logistics strategy plays a fundamental role in the success of our business ensuring a first-class distribution service is provided to our customers.

Key Tasks and responsibilities 

  • General administrative office duties;
  • Liaising with existing transport / freight forwarding companies to ensure the smooth flow of goods;
  • Raising purchase orders and transfer orders for bulk product and packaging materials, arranging movements between suppliers, 3PL distribution centres, stores and end-customers;
  • Supporting systems set-up for new products/product changes in the internal computer systems;
  • Maintaining stock related communications within the company and across its systems;
  • Stock levels maintenance and providing internal stock information;
  • Order replenishment planning for future orders and transport arrangements;
  • Liaising internally and externally with teams and business partners on stock and distribution related issues;
  • Planning shipments based on product availability and customer requests;
  • Tracking orders to ensure timely deliveries;
  • Preparing shipping documents (e.g. invoices, purchase orders and bills of lading, ect.);
  • Coordinating our supply chain procedures to maximize quality of delivery;
  • Overseeing the levels of our warehouse stock and placing orders as needed;
  • Providing information to internal departments and customers about the status of their orders;
  • Responsible for the preparation of appropriate and accurate logistics reports;
  • Updating relevant data and analysis to the operations team throughout the supply chain;
  • Identifying opportunities to increase and improve services to new and existing customers;
  • Taking responsibility for own personal development and updating knowledge and skills as necessary to perform the role at an effective level;

The individual

Essential Criteria

  • High school diploma or equivalent; additional education or certification in logistics or supply chain management is a plus;
  • Logistics experience within a third-party logistics (3PL) or production operations;
  • Accurate, with attention to detail;
  • Organisational skills;
  • Confidence in internal and external communication (both spoken and
  • written);
  • Easy to adopt, willingness to learn new skills;
  • Ability to work in a team;
  • Good computer skills, Microsoft Office packages, with good Excel knowledge. Previous experience with ERP systems (Microsoft Dynamics) desired but not essential;
  • Showing initiative approach;
  • Being able to solve problems;
  • Excellent organisational and time-management skills;
  • Presentable, polite and demonstrate excellent customer service skills;

 

Key Relationships.

  • Reporting to Operations Director;
  • Interact and support Procurement and Customer Service Teams as well as other departments when required;
  • Work closely with brand teams, finance department, etc.;
  • Maintain external relationships with all relevant suppliers and business partners;

Education:

  • GCSE or equivalent (preferred)

Experience:

  • Logistics: 1 year (required)
  • Administrative experience: 1 year (required)

Language:

  • English (required)

Licence/Certification:

  • Driving Licence (preferred)

Job Type

  • 2 x Full-time FTC, 1 year (maternity cover)

Place of Work:
