Duration: 12 Months with possible extension
Schedule: Day Shift, Monday - Friday 8 AM - 5 PM
Overview:
The Technical Project Administrator provides essential administrative and project management support to ensure the successful planning, execution, and completion of projects safely. This role involves coordinating project activities, managing safety aspects, maintaining project documentation, tracking progress, and facilitating communication between team members and stakeholders for a capacity increase project for Optical Fiber Cable operation. The Project Administrator plays a key role in ensuring efficiency and organization throughout the project lifecycle. In addition, this role also provides technical support on the floor for equipment installation and troubleshooting.
- Assist the project manager(s) and team in daily administrative tasks.
- Manage safety aspects of the project.
- Manage project schedules, deadlines, and calendars.
- Organize and schedule meetings, including preparing agendas and taking minutes.
- Oversee correspondence and communication for the project team.
- Safety paperwork management for contractors.
- PSSR management and document notebook for each line.
- All ordering request both equipment and team needs.
- Inventory tracking.
- Shipping and movement of materials between plant for conversion setups.
- Assist with parts movement between plants for builds.
- Assist each team as needed.
- Maintain accurate and up-to-date project documentation, including plans, contracts, budgets, and reports.
- Track project progress and milestones, ensuring key deliverables are met on time.
- Prepare regular status reports for stakeholders.
- Facilitate communication between project team members, departments, and external stakeholders.
- Coordinate resource allocation and ensure team members have the tools they need to complete tasks.
- Function as the point of contact for project-related inquiries.
- Monitor project budgets and expenses, ensuring costs remain within agreed limits.
- Process invoices, purchase orders, and other financial documentation related to the project.
- Identify potential risks or issues and escalate them to the project manager as needed.
- Support the team in implementing contingency plans to mitigate risks.
- Ensure all project activities comply with company policies and industry standards.
- Monitor the quality of deliverables to ensure they meet agreed-upon standards.
Must have experience supporting engineering, manufacturing, installation, or capital projects. Previous Project Coordinators, Project Engineers, or Project Managers are ideal.
2. Exceptional Organizational Skills
Candidate will manage project paperwork, installation binders, checklists, safety documentation, and project records.
3. Manufacturing/Industrial Environment Experience
Strong preference for candidates from manufacturing, engineering, plant operations, industrial, fiber optics, automotive, aerospace, or related industries.
4. Strong Microsoft Excel & Office Skills
Must be proficient in Excel (VLOOKUPs, Pivot Tables, formulas), Word, PowerPoint, Outlook, and OneNote.
5. Procurement, Ordering & Inventory Management
Experience ordering parts, tools, supplies, tracking inventory, matching parts to documentation, and managing receipts/orders.
6. Mechanical Aptitude
Should be able to understand drawings/prints, identify machine components, bearings, and replacement parts, and support engineers with sourcing equipment parts.
7. Self-Starter with Strong Ownership
Needs to work independently, solve problems, stay proactive, and support multiple teams without constant supervision.
1. Hands-On & Floor Support Mindset
o This is not a desk-only role. Approximately 50% of the time will be spent on the manufacturing floor supporting equipment installations and project teams.
2. Preferred Tools & Systems
o SAP and SharePoint experience are strong pluses. Experience with project management tools is helpful but not mandatory.
Education:
- Preferred: Bachelor’s degree in Mechanical, Aerospace, or Chemical Engineering.Industrial, Manufacturing,
- Bachelor’s/Master’s degree in business administration, project management, or a related field (or equivalent experience) are highly desired.
- Equivalent project coordination experience can also be considered.
- 3-8+ years of experience
- Proven experience in administrative or project-related roles.
- Proficiency in project management software (e.g., Microsoft Project, Trello, Asana, or similar tools).
- Strong computer skills, including Microsoft Office Suite (Word, Excel, PowerPoint, One Note)
- Data Analysis software - JMP, Minitab desired
- Excellent organizational and time management skills.
- Strong communication abilities, both written and verbal.
- Attention to detail and problem-solving skills.
- Ability to work independently and collaboratively in a team environment.
- Self-motivated, self-directed.
- Extreme ownership.
- Safety conscious.
- Certification in project management (e.g., CAPM, PMP) is a plus.
- Experience in Optical Cable industry-related projects.
- OSHA Safety certification is desired.
- Part floor and part office-based hybrid role; occasional travel may be required depending on project needs.
- Fast-paced environment requiring multitasking and adaptability.
- Clean Room environment requiring careful handling and management of areas
