Job Description

Senior Program Operations Coordinator

United Global Technologies, Inc. (UGT)
Location: Glendale Heights, IL – Hybrid
Compensation: $85,000–$95,000 annually, depending on qualifications
Employment: Full-Time W-2 with UGT
Benefits: Medical, dental, vision, paid time off, and additional benefits

About the Opportunity

United Global Technologies (UGT) is seeking a highly organized, proactive Senior Program Operations Coordinator to support a major global electrical equipment manufacturer serving large-scale construction, infrastructure, and data center projects.

This position plays an important role in keeping complex projects moving by coordinating equipment orders, monitoring production and shipping commitments, maintaining accurate tracking information, and helping resolve operational issues before they impact customers or project schedules.

This is not a traditional executive assistant or calendar-management position. We need someone who enjoys taking ownership, organizing moving pieces, solving problems, and ensuring commitments are fulfilled.

The ideal candidate may come from program coordination, project operations, manufacturing, supply chain, logistics, procurement, construction support, or a senior administrative role involving substantial operational responsibility.

Direct experience with electrical equipment is not required. Strong organizational skills, initiative, advanced Excel capabilities, and the ability to manage competing priorities are essential.

Key Responsibilities

Program Operations & Equipment Coordination

  • Track equipment orders and project deliverables from initial request through production, shipment, delivery, and issue resolution.

  • Maintain visibility into manufacturing schedules, shipping dates, delivery commitments, and customer requirements.

  • Coordinate with project managers, manufacturing facilities, logistics providers, vendors, and internal stakeholders.

  • Follow up proactively on outstanding orders, delayed shipments, missing information, and changing priorities.

  • Identify potential scheduling conflicts or delivery risks and escalate appropriately with recommended solutions.

Issue Resolution & Follow-Through

  • Investigate discrepancies involving shipments, missing or damaged equipment, customer orders, and delivery schedules.

  • Coordinate with appropriate teams to resolve warranty, replacement, invoice, and billing-related issues.

  • Take ownership of assigned problems and follow them through to resolution rather than simply forwarding information.

  • Communicate accurate status updates and ensure stakeholders understand next steps and responsibilities.

Excel Tracking, Reporting & Documentation

  • Build, maintain, and improve detailed Excel spreadsheets used to track equipment, schedules, commitments, and outstanding issues.

  • Use Excel functions such as VLOOKUP/XLOOKUP, pivot tables, filters, formulas, and data validation to organize and analyze information.

  • Prepare clear status reports, tracking summaries, and operational updates for program leadership.

  • Identify missing or inconsistent information and work with stakeholders to maintain accurate records.

  • Assist with Authorization to Ship (A2S) documentation, approvals, and related administrative processes.

  • Support SharePoint, reporting dashboards, and other program management tools as needed.

Cross-Functional Project Support

  • Support multiple projects, customers, and stakeholders simultaneously.

  • Coordinate deliverables, deadlines, documentation, and follow-up activities.

  • Anticipate problems, prioritize urgent requests, and help keep projects on schedule.

  • Provide administrative and operational support to program leadership while independently managing assigned responsibilities.

Required Qualifications

  • 5+ years of experience in program coordination, project operations, operations administration, project support, or senior executive/administrative support involving significant coordination responsibilities.

  • Strong proficiency in Microsoft Excel, including lookups, pivot tables, formulas, and detailed tracking spreadsheets.

  • Demonstrated ability to manage multiple priorities, deadlines, and stakeholders.

  • Experience coordinating projects, tracking deliverables, maintaining accurate records, and following up on outstanding actions.

  • Strong problem-solving skills and the ability to independently investigate issues and coordinate resolutions.

  • Excellent written and verbal communication skills.

  • Strong attention to detail, organization, and accountability.

  • Comfortable working with multiple departments and communicating with leadership, customers, and vendors.

  • Ability to learn new systems, processes, and industry terminology quickly.

Preferred Qualifications

  • Experience supporting manufacturing, supply chain, logistics, procurement, construction, infrastructure, or equipment-related projects.

  • Experience tracking customer orders, shipments, deliveries, or vendor commitments.

  • Familiarity with purchase orders, invoices, shipping documentation, or inventory processes.

  • Experience with SharePoint, Power BI, ERP systems, CRM platforms, or project management software.

  • Experience developing operational reports or improving tracking and coordination processes.

  • Bachelor's degree preferred.

Work Location & Travel

  • Candidates must reside within reasonable commuting distance of Glendale Heights, Illinois.

  • Hybrid position requiring the ability to work onsite 2–3 days per week or as requested, including on relatively short notice.

  • Occasional visits to customer or construction locations may be required.

  • Occasional company-paid travel, potentially including Tennessee, may be required.

Who Will Succeed in This Role?

We're looking for someone who naturally asks:

  • What's outstanding, and who owns the next step?

  • Is the equipment going to arrive when the customer needs it?

  • If something is delayed, what can we do to prevent a project impact?

  • Is our tracking information accurate and up to date?

  • Who needs to know about this issue, and how do we get it resolved?

You don't need to know everything about electrical equipment on day one. You do need to be resourceful, comfortable with Excel, organized under pressure, and willing to take responsibility for getting things done.

If you enjoy managing complex operational details, solving problems, and making sure projects stay on track, we'd like to hear from you.
