This role is 100% remote, but travel is required.

Travel

Approximately 8–12 conferences/events per year; must be comfortable traveling and arriving early to setup. We are significantly expanding our conference and sponsorship strategy in 2027 and want one person to take complete ownership of conference execution from beginning to end. This is not just a travel coordinator or administrative role
. We want someone with real B2B conference/trade-show experience who can independently manage sponsorships, exhibitors, booth vendors, hotels, restaurants and event logistics.

Core responsibilities

Own and maintain our annual conference calendar
Build relationships with conference organizers
Track sponsorship availability, deadlines and opportunities
Evaluate sponsorship packages with leadership and execute selected packages
Handle sponsorship contracts, payments, registrations and deliverables
Coordinate booth design and production with our designers and exhibit vendors
Manage signage, displays, TVs, collateral, promotional materials and booth shipments
Coordinate freight, drayage, electrical, Wi-Fi, setup and teardown
Travel to major sponsored conferences and arrive ahead of the team to oversee setup
Ensure the booth is completely ready before the sales/executive team arrives
Book and coordinate team flights, hotels and ground transportation
Produce a clear itinerary for every attendee
Plan one private client/prospect dinner around each major conference
Source venues/private rooms and manage contracts, menus, deposits and logistics
Coordinate dinner guest lists and RSVPs with the sales team
Manage exhibitor badges, registrations and conference credentials
Handle problems with venues/vendors on-site so executives don't have to
Coordinate conference photography/content where appropriate
Oversee booth teardown, shipping and storage afterward
Reconcile conference budgets and invoices
Maintain conference checklists, timelines and status reporting
What success looks like:
Our sales and executive team should be able to fly into a conference, check into the hotel and simply show up and sell

They should never be worrying about whether the booth arrived, where signage is, whether the TV works, who has the badges, what time dinner starts, where materials are stored, or how everything gets shipped home. The Events & Field Marketing Manager owns all of that. Division of responsibilities:
The Events Manager owns execution and logistics
. Our partnerships/sales team owns prospect targeting, meetings and closing business
. Marketing/design supports creative, collateral and pre/post-conference campaigns
.

The Events Manager coordinates all three groups and makes sure nothing falls through the cracks.

Ideal candidate

3–7+ years managing B2B conferences, trade shows, field marketing or corporate events
Has personally managed exhibitor booths and sponsorships
Comfortable managing multiple vendors simultaneously
Extremely organized and deadline-oriented
Strong project-management skills
Comfortable managing meaningful event budgets
Experience with hotels, restaurants, room blocks and private events
Comfortable traveling frequently
Can independently solve problems on-site
Doesn't need executives to manage details for them
Strong written communication and vendor-negotiation skills
Experience in legal, financial services or another B2B industry is a plus, but trade-show execution experience is more important
