Job description

Paralegal

Department: Legal
Reports to: Chief Legal Officer / General Counsel

Location: Remote
Employment type: Full-time

About the role

BusPatrol is seeking an experienced Paralegal to support a broad range of legal, litigation, corporate, and business-support activities. This role is designed for a career paralegal who is comfortable operating in an in-house legal environment, managing multiple priorities, and partnering with internal stakeholders and external counsel.

The ideal candidate brings strong litigation support skills along with practical experience in a corporate or technology-focused legal department, preferably complemented by prior law firm experience. This person will be a highly organized, detail-oriented, and trusted partner who can independently manage workflows, maintain accurate records, and help the Legal team respond efficiently to business needs.

What you’ll do

Litigation and legal matter management

  • Maintain and update the company’s litigation and legal matter tracker, including active, closed, and anticipated matters, as well as matters in which the company is not a party but that may affect its business.

  • Track key deadlines, filings, hearings, discovery obligations, insurance information, outside counsel, matter status, and next steps.

  • Organize and maintain matter files, pleadings, correspondence, agreements, productions, and other legal records.

  • Support collection efforts, case preparation, and coordination with internal business partners and outside counsel.

  • Manage litigation holds, including issuing hold notices, tracking custodian acknowledgments, and confirming preservation with internal business partners and outside counsel.

  • Assist with legal research and factual investigations as directed by attorneys.

Discovery and records requests

  • Provide litigation support throughout the discovery process, including identifying, collecting, organizing, reviewing, and producing responsive documents.

  • Assist with document review, quality control, privilege and confidentiality considerations, redactions, and production preparation.

  • Coordinate with internal stakeholders to locate and preserve potentially responsive information across systems, business units, and records repositories.

  • Support responses to Freedom of Information Act (FOIA), Public Records Requests (PRR), and similar records requests by conducting structured searches for relevant records and helping organize responsive materials.

  • Help document search efforts, track production status, and escalate issues or gaps to the appropriate attorney.

  • Handle subpoenas and third-party records requests, including coordinating responsive materials and preparing records custodian declarations.

Insurance and certificates of insurance

  • Maintain insurance-related records, policies, claims documentation, certificates of insurance, and related correspondence.

  • Coordinate with the company’s external insurance team, brokers, carriers, and other relevant parties.

  • Assist with gathering information needed for claims, renewals, coverage inquiries, and litigation-related insurance matters.

  • Monitor follow-up items and ensure relevant legal and business stakeholders have current insurance information.

Requests for proposals and procurement support

  • Support the RFP and procurement process by reviewing legal requirements and working with the proposal team to complete corporate forms, certifications, and affidavits, such as non-collusion, debarment, conflict of interest, vendor registration, and W-9 forms.

  • Gather responsive company information and documentation from relevant business partners.

  • Review submissions for completeness, consistency, and confidentiality concerns, and prepare confidentiality and trade secret redactions.

  • Track exceptions to contract terms and other requested deviations, and flag such exceptions for attorney review.

  • Maintain a library of standard certifications, good standing certificates, certificates of insurance, pre-approved responses, and other RFP-related materials and supporting documentation.

  • Help identify legal or compliance issues for attorney review and ensure deadlines are met.

Legal and corporate drafting

  • Prepare and revise routine letters, legal and corporate correspondence, internal memoranda, notices, form agreements, and other documents for attorney review.

  • Prepare template non-disclosure agreements, contract amendments, form agreements, notice letters, and termination or renewal notices for attorney review.

  • Proofread documents for accuracy, completeness, consistency, formatting, and adherence to instructions.

Corporate and governance support

  • Support the Corporate Secretary and Legal team with corporate governance activities, as needed.

  • Assist with Board and committee meeting administration, including agenda preparation, meeting materials, minutes, action-item tracking, and document organization.

  • Maintain corporate records, resolutions, approvals, entity information, and governance documentation.

  • Work with internal stakeholders to collect and organize materials for Board, committee, and executive-level meetings.

  • Help ensure corporate records are complete, current, and appropriately maintained.

  • Maintain the company’s policy library, including the code of conduct and insider trading, delegation of authority, and related-party policies.

  • Track the compliance calendar and corporate filing deadlines.

  • Support audit requests and legal entity confirmations.

  • Serve as the main contact with the company’s registered agent, and receive, log, and triage service of process, garnishments, subpoenas, and state notices.

General legal team support

  • Manage multiple projects with competing deadlines while maintaining a high level of accuracy and confidentiality.

  • Build effective working relationships with Legal, Sales, Government Affairs, Finance, Operations, People, Security, and other internal teams.

  • Handle sensitive and confidential information with sound judgment and discretion.

What You’ll Bring

  • At least 5 years of progressive experience as a career paralegal.

  • Experience supporting litigation, discovery, document production, redactions, legal holds, and matter management.

  • Experience working in an in-house corporate legal department.

  • Strong organizational skills and the ability to manage detailed trackers, records, deadlines, and multiple matters simultaneously.

  • Strong written and verbal communication skills, including the ability to prepare clear correspondence and business-facing summaries.

  • Sound judgment, attention to detail, and follow-through, including discretion with confidential, privileged, and sensitive information and knowing when to escalate.

  • Proficiency with Microsoft Office and the ability to quickly learn legal technology, including document-management, e-discovery, and matter-management systems.

  • Ability to work independently and collaborate effectively with attorneys, business stakeholders, outside counsel, vendors, and executive-level partners.

  • Paralegal certificate, associate degree, bachelor's degree, or equivalent relevant experience.

Preferred qualifications

  • Experience in a technology company or other complex, fast-paced organization.

  • Prior law firm experience, particularly in litigation, commercial, or corporate matters.

  • Experience supporting a Corporate Secretary or corporate governance function, including preparing Board or committee agendas, minutes, meeting materials, resolutions, or action-item trackers.

  • Experience supporting FOIA, public records, regulatory, or government-contracting requests.

  • Experience with RFP responses, public procurement forms and certifications, corporate questionnaires, insurance coordination, or compliance documentation.

  • Experience managing registered agent relationships, service of process, subpoenas, records custodian declarations, compliance calendars, or corporate policy libraries.
